The Learning Experience & Event Specialist plays a critical role in the end-to-end coordination, delivery, and management of various learning programs and corporate events. This individual will be responsible for ensuring seamless execution, high participant engagement, and effective knowledge transfer across key initiatives such as Skill Up programs, Personal Development Day (PDD) events, and the Global Learning & Innovation Technology Summit (GLITS). This role requires a blend of event management expertise, strong communication skills, and a passion for fostering an engaging learning environment, while also contributing to and supporting the instructional design principles of the pod, including learning needs and gap analysis.
+ **Learning Program Management & Delivery:**
+ Lead the coordination, scheduling, and execution of recurring Skill Up programs, including managing speaker requests, preparing session materials, and technical setup for virtual and in-person delivery.
+ Host and facilitate live learning sessions, ensuring a smooth and engaging experience for presenters and participants, including managing Q&A and interactive elements (e.g., polling tools).
+ Manage the intake process for new Skill Up requests, coordinating with content owners and subject matter experts to schedule and promote upcoming sessions.
+ Oversee the post-event process, including attendance tracking, distribution and analysis of Net Promoter Score (NPS) surveys, and reporting on key program metrics.
+ **Instructional Design Support:**
+ Collaborate with instructional designers and pod members on learning needs analysis to identify critical skill gaps within the organization.
+ Contribute to the analysis of learning program effectiveness, using data to inform future content development and program adjustments.
+ Support the application of innovative instructional design principles in the development and delivery of learning experiences.
+ **Event Planning & Execution (PDD & GLITS):**
+ Plan, organize, and execute large-scale corporate learning events such as Personal Development Days (PDDs) and the Global Learning & Innovation Technology Summit (GLITS).
+ Coordinate event logistics, including venue/platform selection, scheduling, speaker management, and attendee communications.
+ Collaborate with internal stakeholders (e.g., Finance, IT, Communications, other Pods) and external vendors to ensure all event requirements are met within budget and timelines.
+ Manage the procurement of event materials and services, adhering to company purchasing policies and utilizing corporate card processes when applicable.
+ Provide on-site and virtual event support, troubleshooting technical issues and ensuring a positive experience for all participants.
+ **Communication & Resource Management:**
+ Maintain and manage key communication channels, including the ET L&D Learning Calendar (SharePoint/MS Teams integration), ensuring all event information is accurate and up-to-date.
+ Develop and distribute event-related communications, invitations, reminders, and post-event summaries.
+ Organize and manage event documentation, templates, and resources on designated SharePoint sites and shared drives.
+ Serve as a knowledgeable resource for team members regarding event best practices, technical tools, and procurement processes.
+ **Reporting & Analytics:**
+ Collect, analyze, and report on key event metrics, including attendance, engagement, and participant feedback (NPS) to assess program effectiveness and inform future strategy.
+ Utilize data to identify trends, opportunities for improvement, and demonstrate the value of learning initiatives.
+ **Collaboration & Stakeholder Engagement:**
+ Actively participate in team stand-ups, agile pods, and project meetings, providing updates and collaborating on shared goals.
+ Build and maintain strong relationships with internal clients, external partners, and vendors.
+ **Education:** Bachelor's degree in Instructional Design, Learning & Development, Event Management, Communications, Marketing, or a related field.
+ **Experience:**
+ Minimum of 3-5 years of experience in corporate event management, learning program coordination, or a similar role within a large organization.
+ Proven track record of successfully planning, executing, and reporting on virtual, hybrid, and in-person events.
+ Experience with end-to-end management of learning programs, from scheduling to post-event analysis.
+ **Technical Proficiency:**
+ Strong proficiency with Microsoft Teams for virtual event hosting, scheduling, and communication.
+ Advanced proficiency with SharePoint for site management, document organization, and content sharing.
+ Experience with event registration platforms (e.g., Cvent, Eventbrite, or internal proprietary systems).
+ Familiarity with survey tools (e.g., Qualtrics, SurveyMonkey) and polling tools for audience engagement.
+ Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
+ **Skills:**
+ Exceptional organizational skills with meticulous attention to detail and ability to manage multiple projects simultaneously under tight deadlines.
+ Strong verbal and written communication skills, with the ability to clearly articulate information to diverse audiences.
+ Proactive problem-solver with a strong bias for action and ability to troubleshoot technical issues during live events.
+ Excellent interpersonal skills, with a collaborative mindset and ability to build rapport with internal and external stakeholders.
+ Data-driven approach to evaluating program success and identifying areas for improvement.
+ Ability to contribute to learning needs assessments and gap analysis efforts.
+ **Preferred Qualifications:**
+ Experience working in a large, global corporate environment.
+ Familiarity with Agile methodologies and sprint-based work environments.
+ Experience with learning management systems (LMS) and Human Capital Management (HCM) systems.
+ Certification in event management or project management.
