    Position Overview: Pashley Elementary School is seeking a detail-oriented, organized, and friendly School Secretary to support the daily operations of the main office. The ideal candidate will be the first point of contact for students, families, and visitors—helping ensure that the office runs smoothly and efficiently.

    Civil Service Description:

    Classification: Competitive

     

    This position involves responsibility for performing difficult clerical tasks, requiring the exercise of independent judgment in the application of prescribed procedures and methods to routine cases. This position may be responsible for utilizing a microcomputer, remote computer terminal or similar computer equipment in the performance of daily work-related tasks. If this position has responsibility for utilizing this equipment more than 70% of the work time, it is not properly classified as a Senior Typist, but rather is classified in another appropriate series based on the duties and responsibilities performed. General supervision is received from a higher level clerical employee or other supervisory staff member. General supervision may be exercised over the work of one or more clerical employees. The incumbent does related work as required.

     

    Typical Work Activities

     

    + Assigns work, reviews and records work done and instructs new employees in specialized clerical and typing work of a unit;

    + Working from rough draft or from data personally developed, types accounting and financial statements, payrolls, statistical tabulations and data, form letters, memoranda, vouchers, reports, requisitions and other materials;

    + Reviews accounts, reports and other documents for completeness, accuracy and conformity with established procedures;

    + Conducts routine correspondence on matters where policies and procedures are well defined;

    + May supervise and participate in the typing, issuing and recording of applications, licenses and permits;

    + Supervises and participates in the typing of records and reports and reviews for clerical accuracy and completeness;

    + Oversees and participates in typing, processing, indexing, sorting, recording and filing a variety of control records and reports;

    + May be responsible for the maintenance of personnel records and preparation and typing of payrolls;

    + Answers telephone and gives out routine information or relieves at the switchboard;

    + May operate as an addressograph, mimeograph, calculator, adding machine, typewriter, word processing equipment and other office machines;

    + Performs a variety of related duties as required.

     

    Full performance knowledge, skills, abilities and personal characteristics

     

    Good knowledge of modern office terminology, practices and equipment; good knowledge of Business Arithmetic and English; ability to plan and supervise the work of others; ability to type accurately at an acceptable rate of speed; clerical aptitude; ability to understand and carry out oral and written directions, physical condition commensurate with the demands of the position.

    Minimum Qualifications

    + Graduation from high school or possession of a high school equivalency diploma and two years of clerical experience which shall have included typing; OR

    + Three years of experience as outlined in (A) above; OR

    + An equivalent combination of training and experience as defined by the limits of (A) and (B) above.

    Special Requirements

    Candidates must demonstrate the ability to type at least 35 words per minute.
