Job Description
The Sales Coordinator plays a critical operational role in supporting the sales team and ensuring smooth execution of advertising campaigns. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks across markets.
Key Responsibilities:
Report digital billboard issues and coordinate resolutions.
Manage invoicing and proof-of-performance (POP) submissions to clients (e.g., Kinetic, Rapport).
Complete RFPs and assist executives with documentation and scheduling.
Send weekly internal updates including webcam schedules, install timelines, and creative status.
Communicate with installers and manage posting schedules and grids.
Handle financial tasks such as scanning and depositing checks, and notifying stakeholders of daily totals.
Answer office and remote phones; sort and distribute mail.
Track creative submissions for Miami and Phoenix; coordinate permitting with city contacts.
Update company website and verify changes with internal stakeholders.
Arrange webcam maintenance and save footage in OD.
Enter leases and units into APX system.
Assist executives with errands and administrative support.
Create billboard miniatures and coordinate approach photos with installers and photographers.
Save all creative and posting photos in OD.
Assist with scheduling creative in Blip/APX and maintain posting documentation.
Send updates to Geopath and pull impressions for new units.
Update photo sheet decks and PDFs as needed.

Skills and Requirements
- 2+ years in sales coordination, operations, or administrative support.
- Proficiency in Microsoft Office Suite, APX, Blip, CRM systems; strong organizational and multitasking abilities.
- Associate degree or higher preferred.
- Excellent written and verbal communication skills.
- Ability to manage complex schedules and documentation with precision.
- Comfortable working with digital tools, photo management systems, and web platforms.
