Job Description
A Client of insight global is seeking a project & business development coordinator for their New York office. This role manages inbound business inquiries, tracks opportunities in Pipedrive, and assists with proposals and scheduling. The coordinator also provides daily administrative and operational support to the General Manager and Director, liaising with Montreal-based teams to ensure smooth communication, coordination, and execution of projects.
Key Responsibilities
Business Development & Client Coordination
- Manage Pipedrive CRM to track and qualify new business leads and client inquiries
- Conduct initial lead follow-ups to assess project scope, budget, and timeline
- Prepare and support client proposals and presentations in collaboration with the Director
- Coordinate client visits, demos, and meetings at the NYC venues (55 Wall Street, 25 Broadway)
- Maintain accurate records and ensure timely communication between NYC and Montreal teams
Operations & Administrative Support
- Oversee daily scheduling, meeting coordination, and calendar management for leadership
- Handle emails, invoices, and basic financial administration tasks
- Maintain organized office systems, including document filing and supply purchasing
- Provide weekly reporting and updates on leads, pending opportunities, and office activities
Project Assistance
- Support project follow-ups, documentation, and coordination with internal production teams
- Assist with logistics related to multimedia events and installations in NYC properties
- Participate in onboarding and orientation processes when new team members join

Skills and Requirements
- Bachelor’s degree in Business, Administration, Multimedia, or a related field preferred
- 2 years of Administrative work: calendar management, scheduling, project coordination
- Strong phone skills
- Passion & background for multimedia, A/V production, or architecture Strong communication and organizational skills, with attention to detail
Proficiency in Microsoft Office and Google Suite; knowledge of CRM tools (Pipedrive ideal)
Able to manage multiple priorities, work independently, and take initiative
Comfortable communicating with international teams and clients
