Mays Business School invites you to join our dynamic team as a Program Coordinator II for the Center for Executive Development (CED). You will play a pivotal role collaborating with leadership to plan, develop, administrate, and implement quality programs which deliver high-impact Executive Development for leaders (C-level) from Fortune 100 Companies and mission-driven non-profit organizations. In this role, you will enjoy overnight travel (approx.30%) as you manage a portfolio of approximately seven prestigious clients, orchestrating immersive programs ranging from 3-day intensives to 3-week strategic engagements with great attention to detail. You’ll collaborate closely with senior executives, vendors, faculty thought leaders, and internal stakeholders to ensure every program is flawlessly executed and working closely with client stakeholders to ensure program goals are attained or exceeded. What you need to know Salary: $50,000 - $56,000 Position Details: This position requires overnight travel up to 30% of the time and the ability to work irregular hours, including nights and weekends. Essential Duties/Tasks Program Coordination + Coordinate designated CED programs, serving as the primary point of contact for the client, vendors, participants, and faculty. + Manage logistical activities to ensure program success, including scheduling, program material creation, budgeting, and compliance with safety and health policies. + Coordinate meal catering for programs and ensure dietary restrictions/needs are met for participants and instructors + Coordinate hybrid/virtual programs, in collaboration with the director and instructors. + Assist in establishing short and long-term goals and strategic planning for the director's client portfolio. + Collaborate with Program Directors to create and expand programs for new and returning clients. + Develop and maintain relationships with stakeholders, including clients, faculty, outside vendors, and CED staff. + Manage the program training sites locally and off-site. + Ensure program evaluations are completed by participants. Submit expense and travel reports as needed. Participant & Team Coordination + Manage participants registrations and data collection using HubSpot + Communicate all necessary program information with participants + Schedule participant transportation, arrange orientation, plan and execute group events/experiences. + Coordinate with Administrative Coordinators/Executive Assistants for ordering supplies and maintaining training materials. Program Follow-Up + Communicate with participants regarding program pros and cons. + Share feedback from the evaluations in report format with instructors and the client to ensure objectives were met and to maintain program quality. + Utilize evaluation data to enhance decision-making regarding adjustments to the program + Collaborate with relevant team members to maintain awareness of program-related expenses and communicate any discrepancies or cost impacts to the Program Director when applicable. Instructor Coordination + Coordinate curriculum and class schedules with instructors + Ensure the adequacy of presentation materials and the availability of necessary training aids. + Support instructors in the classroom as needed Qualifications Required Education and Experience + Bachelor’s degree + Four years of experience in project management, event coordination, program administration, account management, customer service or closely related experience. Preferred Qualifications + Experience with Microsoft Office Suite, Adobe Creative Suite, Monday.com and registration platforms such as HubSpot. + Experience working with high-level executives and industry professionals. + Experience in a team environment or collaboration + Experience giving presentations + Experience managing and sharing calendars + Ability to delegate effectively Knowledge, Skills, and Abilities + Ability to manage multiple projects under timelines. + Strong organizational and time management skills. + Must adapt rapidly to changing situations or last-minute challenges. + Strong people skills, excellent verbal and written communication skills, and attention to detail are sought. + Ability to work in a fast paced, multi-dimensional work environment with a high degree of professionalism, accuracy and consistency. + Must be able to communicate effectively and professionally with industry/corporate professionals. + Basic website/online portal experience.
