The Marathon Anacortes Refinery is seeking an Administrative Assistant that supports the refinery’s Maintenance Department. The position will report directly to the Maintenance Craft Manager with some cross-department responsibilities supporting Inspection, Reliability, Planning, and Turnaround/Construction. This position will enter and verify data records in appropriate formats into various systems, track and verify the quality of data entry from all sources, interact with other departments to resolve problems and inquiries, and maintain efficient data and information flow. The position is also responsible for ordering supplies, managing employee expense reports, and managing departmental documentation.
Key Responsibilities
+ Manages and orders office supplies for all Maintenance Departments.
+ Utilizes Concur to manage business expense reports (BERs) for the Maintenance Department.
+ Performs data entry as needed, runs reports, and builds custom reporting in various systems.
+ Maintains the Maintenance Department SharePoint page. Includes creating and maintaining various SharePoint pages, lists, documents, and libraries.
+ Create and maintain Excel spreadsheets, such as the Maintenance Call Out Log.
+ Maintains the list of Maintenance Duty personnel and the Maintenance Duty Bag.
+ Orders lunches on an as needed basis for business lunch meetings.
+ Stays compliant with all required site training.
+ Sends out Point of Interest emails to the site and Business Partners.
+ Manages documents that require electronic signatures.
+ Manages the service of the copier/printers.
+ Assists with reconciling daily time confirmations for the hourly craft employees.
+ Ensures new MPC and contractor hires are set up with computer access and other requests.
+ Reports to the Maintenance Craft Manager.
Education, Experience and Skills
Minimum Qualifications
+ Must have a high school diploma or equivalent.
+ Must have a minimum of 2 years as an Administrative Assistant.
+ Must have well developed computer skills with demonstrated ability using all MS Office Software modules. Incumbent must be a “self-starter” with the demonstrated ability to work independently on multiple projects simultaneously while meeting deadlines. Requires strong organizational, communications and problem solving skills. Must have the ability to maintain confidentiality when dealing with issues of a confidential nature.
+ Must have strong written and verbal communication skills, with the ability to communicate effectively to all levels of the organization.
+ Must be proficient in Microsoft Office - Word, Excel, Outlook, etc.
+ Must have a valid driver’s license.
+ Must be able to obtain a TWIC Card.
+ Must be able to work the current schedule which is a 4/10 schedule, 7:00 AM – 5:30 PM, Monday-Thursday.
Preferred Qualifications
+ Experience with other Microsoft tools, such as Teams, Power BI, Forms, OneDrive, Visio, etc.
+ Completion of a 2-year Associate’s degree or greater.
+ Experience with SAP software.
+ Experience with Adobe software.
