This job is a full time, benefited, FLSA exempt position in the Technology & Operations that reports to the Vice President of Technology & Operations.
Salary : Commensurate with education and experience not to exceed $54,080/yr
Schedule: Monday – Thursday 8:00 AM – 5:00 PM and Friday 8:00 AM – 4:00 PM on the Lawrenceville Campus. This position is not eligible for telework

Bachelor’s degree in a related field *and* One (1) year of work-related experience OR Associate Degree in Business Administrative Technology *and* Two (2) years of work-related experience

Preferred Qualifications:
Success in this role requires strong project coordination skills, the ability to manage multiple priorities, and excellent communication abilities. Experience handling budgets, tracking invoices, and managing vendor relationships for large projects is essential. A keen attention to detail and a proactive approach to problem-solving ensure efficiency and effectiveness in managing responsibilities. Experience managing and maintaining Excel-based budget tracking tools, ensuring formula accuracy, data consistency, and year-over-year replication.
Job Description Summary:
This role provides high-level administrative support to the Vice President of Technology and Operations, focusing on project coordination across IT, facilities, and security departments. Responsibilities include ensuring project progress with minimal direction, managing stakeholder communications, and proactively identifying and resolving roadblocks. Accuracy in tracking project updates and delivering clear, professional reporting is essential. This position requires routine use of advanced Excel functions to maintain, analyze, and update complex budget tracking tools used for annual fiscal planning.
Technical Skills and Competencies:
Proficiency in Microsoft Office Suite with advanced Excel capability, including the ability to interpret, maintain, and troubleshoot existing financial tracking spreadsheets. Must understand and replicate built-in formulas, data validation rules, and multi-sheet references to ensure continuity of annual budget processes.
Strong skills in project tracking, reporting, and stakeholder coordination are required, along with the ability to structure and relay updates professionally. Experience with budgeting systems, invoicing processes, and workflow management tools is preferred. The ability to learn and leverage new technology tools to enhance administrative and operational processes is essential.
Duties/Responsibilities:
Percentage of Time:
Perform and complete variety of tasks and assignments associated with support functions for the Vice President of Technology & Operations (VP, IT & Ops) and assigned Tech & Ops division
• Receive and distribute correspondence and mail daily
• Answer telephones and greet visitors, record messages as needed; filter faculty/staff traffic to VP’s office
• Coordinate calendar, travel arrangements, reimbursements, and associated records in timely, accurate, and efficient manner
• Maintain Tech & Ops SharePoint site
• Maintain vice president office files

Monitor use of and maintain supplies, equipment and/or facilities for division;
• Monitor and orders office supplies
• Enter service tickets as needed for facilities, IT, and equipment

Enter data from forms, records, reports and/or other sources into computer for purposes such as maintaining databases and complete incidental word processing and spreadsheet assignments
+ Manage budget records coordinating with sub departments
+ Monitor IT and facilities tickets to ensure appropriate SLAs are met.
+ Research, organize, and report state wide contract changes to ensure procurement meets guidelines year to year.

Complete assignments associated with personnel support functions
• Manage budget development, maintenance, and balances, and p-card transactions/reports
• Maintain division budget spreadsheets; ensure accuracy of all linked cells, formulas, and pivot tables.
• Troubleshoot calculation errors or broken links within existing budget workbooks.
• Update fiscal year budget files using established Excel templates and verify all carryover data.
• Manage procurement, contacts, inventory
• Maintain leave request and travel form documentation and enter on calendar
• Schedule and organize performance management evaluations and plans
• Assist with organization and filing/binding of meeting materials (board minutes, initiative/committee materials, projects, etc.)

Conduct general operations of technology & operations.
