Housing & Food Services (HFS) has an outstanding opportunity for a Program Assistant to join their team.
Housing & Food Services supports over 10,000 student residents and operates 40+ dining locations on campus. With a team of over 1,200 staff and students, HFS is dedicated to enhancing student life through teamwork and excellent service.
Position Purpose
Provide program operation support to manager in a high-volume, fast-paced cafes service environment.
Description of Duties
• Coordinate orders in unit and communicate with guests regarding the Café To Go program.
• Act as point of contact for general support to unit employees, internal and external customers, vendors, etc.
• Document, implement, interpret and communicate procedures, work methods, forms, schedules and job priorities to meet the business needs of the leadership team.
• Communicate program-specific policies and procedures to employees, customers and guests.
• Under the direction of the managers, support student employment processes by assisting with orientation, training, and scheduling functions.
• Insure that appropriate files, records and databases are maintained.
• Use various systems including, inventory and menu management systems (CBORD), point of sale systems, document management systems (SharePoint) to track and edit information and prepare reports for leadership team.
• Update signage, both physical and digital, including menu and pricing boards.
• Act as liaison to other Housing & Food Services areas; escalate problems that arise between staff and both internal and external customers.
• Act as a liaison between Computing Services and Food Services computer users and assist with troubleshooting software problems and referring hardware malfunctions as necessary.
• With direction from manager supports tasks associated with hiring, training, scheduling coverage for open shifts and evaluation processes.
• Track new hires to insure that they receive the prescribed orientation, training and evaluations.
• Maintain records from external vendors to support the verification of product receipt at unit level.
• Seek continuous improvements in office support activities.
• May direct the work of student/hourly staff.
• Ensure unit staff are properly trained on using CBORD FSS system by referring them to Dining Systems for training, as well as providing ongoing guidance and feedback.
• Perform and coordinate data input into CBORD FSS system following established protocols, including orders, invoices, inventory, transfers and service menus. Identify and escalate suspected errors or issues to manager or Dining Systems.
• Generate and print reports or worksheets from CBORD FSS system, including order guides, production sheets, recipes and inventory tally sheets.
• Take inventory counts using tally sheets from CBORD FSS system.
Position Dimensions
Though hired into a specific working title or location, all employees of Housing & Food Services are expected to support overall operational and customer service needs by: participating in cross-training, providing coverage during staff absences or high business volume, participating in production and/or service of special events, and being willing and able to perform additional, related duties and/or be reassigned to another work unit (as appropriate, within job classification).
Minimum Qualifications
High school graduation or equivalent
AND
Two years of clerical experience.
Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
Condition of Employment
• A satisfactory outcome from the employment verification and reference check processes.
• Maintenance of a valid Washington State Food Worker Card within two weeks of employment.
Compensation, Benefits and Position Details
Pay Range Minimum:
$44,256.00 annual
Pay Range Maximum:
$54,732.00 annual
