Title: Practice Manager
Department: Women's Health
Reports To: Director of Operations
The Practice Manager is responsible for optimizing operational performance of their clinical practice areas. The role provides staff with on-site support and guidance to ensure quality of patient care and service. The Practice manager ensures the effective execution of operations goals to meet departmental targets. Responsibilities include training and mentoring the front line and Office Staff. The role also involves enforcing operations practices policies and procedures related to patient scheduling, patient registration and flow, collections, customer service, communication with internal and external customers, human resources and personnel management, HIPAA compliance, and quality and patient safety standards. Collaborating with operations and clinical leadership is essential to ensure optimal productivity.
Responsibilities include but are not limited to:
+ Organize and manage office operations and procedures, including the front desk, schedule utilization, billings and collections, medical records, and other clerical services.
+ Evaluate office productivity, work queues, front end denials, appointment scheduling, session cancelations.
+ Proactively reviews schedules, patient recalls, and new patient waiting lists, reports, work queues and inbox messages to ensure maximum access for patients.
+ Monitor operations flow regularly and adjust to enhance patient and staff satisfaction.
+ Manage operations to meet key performance indicators (KPIs) .
+ Generate and report to management on all KPIs, weekly, monthly, or quarterly as defined.
+ Maintain a strong professional relationship with clinical management and all other staff involved with all assigned duties.
+ Effectively communicate challenges, issues impacting operations and compliance using standardized methods and escalating where needed.
+ Ensures staff compliance with CS-HHC policies and procedures.
+ Human Resource
+ Train and supervise insurance clerks, front desk, and administrative staff.
+ Works with front line staff to ensure each employee understands their job descriptions, the desired results associated with their work, and the resources available to ensure compliance, efficiency, and patient satisfaction.
+ Conduct regular staff meetings, coaching and training sessions with staff.
+ Financial
+ Oversee all practice-based activities that support successful accounts receivable outcomes, including but not limited to, accurate data entry, patient payment collections, timely posting and batch processing, and routine verification of patient’s insurance status.
+ Regulatory and Safety Officer
+ Complete Environment of Care rounds and Safety Assessments as needed.
+ Monitor and report on Safety and Environmental Care Conditions; participate in multi-departmental rounds.
+ Participate in Safety and Environment of Care rounds, Emergency Management (e.g. fire drills, evacuation protocol), and other compliance-related activities.
+ Collaborating with Security Personnel for Compliance.
Requirements:
+ Bachelor's degree in a related field is required. Master's or doctorate in business, health administration, management, public health or a related discipline is a plus.
+ At least five (5) years of related experience.
+ Operational experience in multi-specialty clinical environments is required.
+ Epic experience required.
+ Working knowledge of appointment booking, registration, medical records, billing, and patient flow systems applicable to healthcare operations required.
+ Knowledge and experience in facility management and knowledge of ambulatory health delivery systems preferred.
+ Familiarity with concepts of community/public health and managed care preferred.
+ Must be detail-oriented with good organizational skills and be able to prioritize and work well under pressure.
+ Able to handle multiple tasks simultaneously, meet required deadlines and demonstrate flexibility in accepting new assignments.
+ Able to train others. Demonstrates a working knowledge of managed care carriers and fiscal intermediaries.
