What Success Looks Like In This Job
The purpose of this position is to provide administrative support broadly to the Human Services Department. The Administrative Assistant is a representative of the department and will be involved in interpersonal contacts with the public; partner Departments, partner agencies, and oversight bodies requiring and a high degree of professionalism, tact, etiquette, good judgment, and communication skills.
Responsibilities will include processing of study session or consent items; data download and data management in Excel; editing and formatting key documents; assisting with ordering and payment of invoices; providing meeting support by taking notes.
Perform a wide variety of other complex administrative, secretarial, and/or clerical duties. Provide information and assistance to partner agencies and the public. Work is characterized by independent planning, multi-tasking, and problem solving. Work involves a variety of sensitive and highly confidential material.
Examples of Duties for Success
+ Performs administrative duties within the department support system; order and store materials and supplies; recommends improvements in workflow, procedures, and use of equipment and forms.
+ Perform a wide variety of general clerical work including the input, maintenance and retrieval of accurate and detailed distribution rosters, correspondence, data, and text; verification of accuracy of information, researching of discrepancies, and recording of information.
+ Provide support to residents and staff.
+ Attend meetings regularly and prioritize time accordingly.
+ Operate a variety of office equipment including a computer, copier/scanner.
+ Organize and maintain data storage and filing.
+ Handles administrative requests for the department, schedules appointments and performs administrative tasks for areas of need.
+ Performs other related duties and responsibilities as required.
Qualifications for Success
Experience:
+ Minimum of three (3) years of office experience.
+ Superior proficiency in Microsoft Office Products - particularly Excel, Word, and Outlook.
+ Education and Training :
+ High school diploma or GED equivalent.
+ College level course work in business administration or a related field is preferred.
+ License or Certificate: None.
+ Background Check : Must pass a criminal background check.
+ Other: High performer with a strong degree of professionalism, efficiency, self-motivation, and good judgment.
