    The Executive Assistant will provide administrative support to the Vice President of Storage & Transportation and the broader team. Responsibilities include calendar management, travel coordination, expense processing, vendor interaction and office operations support.

    Major Responsibilities

    • Provides administrative support to the leadership team, including managing calendar and contacts, ordering office and kitchen supplies, meeting and travel arrangements, expense reporting, correspondence, filing, and other necessary support as required.

    • Coordinates logistics for events, meetings, and catered functions.

    • Assists Storage & Transportation leadership with presentations, reports, and other materials as required; maintains confidentiality, promotes teamwork, and assists in meeting deadlines.

    • Prepares expense reports and submit daily and monthly time entries via company systems (Concur, Timewatch, Dayforce).

    • Records meeting minutes on request; administer Timewatch for timesheet collection and approval.

    • Provides backup for contract administration and maintain SharePoint access.

    • Procures office supplies, water, snacks, and business cards utilizing approved vendors; coordinate delivery schedules and manage inventory efficiently.

    • Manage bank statements and related records, maintain and update purchase order (PO) spreadsheets, track invoices and payments, approve invoices in Oracle, create purchase orders and requisitions, and process Master Data Management (MDM) requests for supplier setup and payment updates.

    • Reviews invoices, apply appropriate coding, route for approval, submit to Corporate Accounts Payable for payment, and maintain vendor files.

    • Collect and distribute incoming mail and email, review contents, and forward to appropriate recipients (including Certificates of Insurance and invoices).

    • Manages the FedEx account, oversee shipping logistics, and serve as main contact for onsite vendors.

    • Manage access credentials, including maintaining various company email accounts and coordinating security badge access and orders for employees.

    • Collaborates with IT and Facilities to address office needs; maintain copier supplies and arrange repairs as needed.

    • Serve as liaison with building management, submitting work orders and addressing facilities-related issues (HVAC, lighting, parking); oversee office support contractors and resolve complaints.

    • Serves as liaison to company support organizations such as IT, Purchasing, Human Resources, and Facilities.

    • Works with Marketing to facilitate customer gift distribution and holiday card mailings.

    • Coordinates company participation in community service and charitable events in collaboration with Corporate and Community Relations.

    Position Requirements:

    • High School Diploma or GED required; Associate degree preferred.

    • Minimum 6+ years of office administration and management experience in a corporate environment.

    • Proficiency in MS Word, Excel, PowerPoint, and Outlook.

    • Strong organizational skills and attention to detail.

    • Excellent interpersonal, written, and verbal communication skills.

    • Ability to multitask and meet deadlines in a fast-paced environment.

    • Capable of working independently and collaboratively within a team.

    Compensation: Expected base pay range for this role will be $66,300- $84,450.

     

    Base pay is based on several factors including, experience, skills, and knowledge.

     

    This role will be eligible to participate in an annual short term incentive program.
