    Position Summary:

    Florida Atlantic University is seeking an Assistant or Associate Director of Benefits and Retirement Services - Boca Raton, FL.

     

    Reporting directly to the Director of Human Resources, the Assistant or Associate Director of Benefits and Retirement Services (ADBRS) also works with the AVP for Human Resources to coordinate with the state of Florida administrative offices (Department of Group Insurance Services (DGIS), Florida Retirement Services (FRS) and PeopleFirst) and benefit plan representatives to administer, support, and implement benefits and benefit plans for the University. “Benefits” is inclusive of all insurance plans, supplemental insurance plans, fringe plans, and retirement plans. The ADBRS has primary responsibility to be the University’s lead, in-house expert, and contact to implement and support all benefits and retirement programs, benefit plans, and provide excellent service and support for employees in navigating benefits and benefit plan provisions

    Summary of Responsibilities:

    Benefits and Retirement Administration – As the official liaison to PeopleFirst (HRIS and customer service support for all state procured benefits) and all plan representatives, the ADBRS has primary responsibility to implement and support the administration of the University’s benefit and retirement plans, programs, and services for University employees (including applicable retired employees).

     

    + Lead the Benefits and Retirement Services staff (4 individuals) to provide comprehensive benefit/retirement plan information, enrollment assistance, and support to all University employees.

    + Provide insurance use, information, guidance, and strategy for employees. Meet with employees to review benefit/retirement enrollments, and address questions/inquiries about plan provisions, navigation of plan processes and requirements, including life events that affect benefits eligibility or changes.

    + In collaboration with PeopleFirst and FAU Payroll (Payroll Accounting Analyst), confirm/review and ensure that employee premiums, deductions, and withholdings are accurate, contingent on employee status and/or elections. Be a collaborative resource to assist with benefits/retirement reconciliation reports and related needs.

    + Share/disseminate/inform benefits team, HR, or the University community (as appropriate) regarding these changes, needs, or updates, as the ADBRS is the “Retirement Coordinator” role (as defined/delegated by PeopleFirst) and is primary in receiving updates regarding plan changes and/or plan participant updates and/or requests.

     

    Benefits/Retirement Education - Conduct meetings/seminars to provide ongoing employee engagement and education of all benefit/retirement plans/provisions as required for compliance, as well as providing on-going trainings and informational sessions for employees. Expected meetings/seminars will include (but not be limited to) hosting and/or participating in monthly benefits trainings, New Employee Orientation, and (annual) Open Enrollment (as informed by DGIS) trainings, etc.

     

    + Responsible for planning and implementing the annual Benefits Fair. Coordinate with DGIS and all invited benefit plan providers to host and run the annual FAU benefits fair that informs, educates, and presents information regarding the annual open enrollment to address any/all plan updates and changes (required and/or available).

    + Collaborate with Public Affairs or appropriate resources to create, update and/or review all marketing and communication materials (brochures, booklets, etc.) as required.

     

    Benefit/Retirement Plan Implementations – As plans change, terminate, or are procured, work with PeopleFirst and/or benefit plan providers to implement plans and/or plan changes. Coordinate with appropriate HR, IT, and Payroll/Finance areas/individuals to perform plan and/data testing for Workday system needs/changes.

     

    + Coordinates to ensure FAU has the most updated/accurate plan documents, brochures, etc., as the primary contact for all insurance and Plan representatives.

    Supervisor - Supervise 4 staff employees including a manager and 3 support staff

    + Perform annual evaluations, including recommendations for employee development and training.

    + Manage workloads, delegation of tasks, work schedules, and mentor and guide by sharing expertise and best practices.

     

    Leave Administrative Support – While all Leave is administered and managed by the HR Risk Manager, the ADBRS provides valuable and critical support to guide Benefits and Retirement Services to implement and provide integrated administrative support in any/all areas of Leave. Leave includes (but is not limited to): Federal Medical Leave Act (FMLA), Paid Time Off (PTO), Bereavement, Vacation, Jury Duty, Holiday, Leave Without Pay (LWOP), Faculty Sabbatical, etc.

     

    + Coordinate with the HR Risk Manager and Payroll (Accounting Analyst) to ensure all benefits continuation/conversion options are administered correctly during an employee’s Leave.

     

    Other Duties – Perform other job-related tasks, duties, projects as assigned.

     

    + Attend meetings, participate in on-line seminars, and related trainings to stay current on benefits, insurances and benefit/retirement plan issues and developments.

    + Assists with data collection/requirements for audits, reviews, investigations, etc.

    + In keeping with “service to the College” serve on temporary committees and/or groups as elected, delegated and/or assigned. Perform other related or assigned tasks/duties.

    Bachelor's degree from an accredited institution in an appropriate area of specialization, and 6 years of appropriate experience required, or
