    Job Description: Accounts Receivable (AR) Clerk

     

    The Accounts Receivable (AR) Clerk is responsible for managing the organization's incoming payments and ensuring accurate financial recordkeeping. This role is essential to maintaining healthy cash flow, reconciling accounts, and providing excellent service to customers and stakeholders. The AR Clerk works closely with the accounting team and plays a critical role in supporting the company’s financial activities.

    Key Responsibilities:

    + Payment Processing: Accurately record customer payments (cash, credit, electronic transfers) and allocate them to the appropriate accounts.

    + Invoice Preparation and Distribution: Generate and issue customer invoices in a timely manner, ensuring all relevant details are correct.

    + Account Reconciliation: Review and reconcile accounts receivable balances to identify and resolve discrepancies.

    + Collections: Monitor outstanding balances and initiate follow-ups with customers to ensure prompt payment, while maintaining positive customer relationships.

    + Reporting: Prepare and present regular reports on accounts receivable aging, collections activities, and payment trends.

    + Record Maintenance: Maintain organized and up-to-date records of all transactions in compliance with company policies and applicable regulations.

    + Customer Service: Respond to customer inquiries related to billing and payments, providing professional and timely assistance.

    + Support Month-End and Year-End Close: Collaborate with the accounting team to ensure all accounts receivable transactions are accurately recorded during financial closing periods.

    Requirements

    Preferred Qualifications:

    + High school diploma or equivalent; associate degree or coursework in accounting, finance, or a related field preferred.

    + 1-2 years of experience in accounts receivable or similar financial roles.

    + Knowledge of basic accounting principles and practices.

    + Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle), ERP systems, and Microsoft Office Suite (Excel, Word, Outlook).

    + Strong organizational skills and attention to detail.

    + Excellent communication and interpersonal abilities.

    + Ability to work independently and meet deadlines in a fast-paced environment.
