**Job Title:** Clinical Projects Specialist
**Department:** Radiology Secretaries
**Location:** Hospital of the University of Pennsylvania - 3400 Spruce St
**Hours:** Mon-Fri office hours
Summary:
+ Overseas and coordinates management of provider schedules (clinical, academic and administrative) while collaborating with faculty leadership to ensure appropriate clinical coverage. May be responsible for assistance with academic support in grant proposals and submissions. Experience in scientific writing is desirable. May be responsible for assisting in and coordinating faculty recruitment activities. Assist students, observers and med students w/ onboarding and ongoing support. Understanding regulatory processes and organizational requirements is beneficial. Ability to support event planning activities. Ability to manage other administrative support functions. Strong organizational skills to support and lead project management initiatives within the section/department. Ability to meet deadlines in a fast-paced environment.
Responsibilities:
+ Assisting in the organization and creation of section schedule – on call, daily, biopsies, procedures, etc.
+ Assist others with Qgenda responsibilities. Timeoff, switch, print reports, organize schedules, moonlighting, baby call, etc.
+ Organize centralized scheduling for Qgenda on one platform and operating system.
+ Acquiring necessary approvals for changes in schedule.
+ Coordinating collaborative efforts with other entities – HUP, PAH, PPMC, PCAM, PAVILION.
+ Serving as liaison between sections and departments and go between regarding section Qgenda clinical commitments.
+ Demonstrates awareness of professional responsibility as role models to peers and members of the health care team.
+ Assist with reimbursements for faculty and staff across the department.
+ Assist with physician scheduling through the department.
+ Organize meetings, prep agenda, set up conference rooms, minute taking and track attendance.
+ Assist with students, observers, med students, assist w/ submissions with access requests.
+ Participates in and supports accreditation, compliance, and regulatory activities of the organization.
+ Assist with SharePoint submissions as needed.
+ Organize and assist with Faculty evaluation processes and organize the yearly rotation, setting up meetings.
+ Create an organized system for Section Chief.
+ Maintain equipment within the section to include Fax, Printer, copier and other equipment as defined.
+ Assist with ordering and tracking items for needed faculty.
+ Maintain FEDS database for faculty.
+ Order office supplies and items needed for faculty to include (white coats, paper, business cards, etc).
+ Assist with maintaining and managing faculty mail/purchases/etc.
+ Maintain an organized filing system online to include the needs of the section.
+ Performs duties in accordance with Penn Medicine and entity values, policies, and procedures.
+ Other duties as assigned to support the unit, department, entity, and health system organization
Education or Equivalent Experience:
+ H.S. Diploma/GED (Required)
+ 5 + Related clinical office experience required. Experience in a healthcare setting is preferred.
