Description We are looking for an experienced Executive Assistant to provide high-level support to a senior executive in our New York, NY office. This position requires a motivated individual who excels in managing complex schedules, coordinating logistics, and fostering effective communication across departments. As a Contract to permanent role, this opportunity offers the potential for long-term collaboration in a dynamic and fast-paced environment.
Responsibilities:
• Organize and oversee intricate executive calendars, ensuring seamless scheduling and conflict resolution.
• Maintain and update the office's SharePoint calendar while managing distribution lists for effective communication.
• Coordinate office supplies, handle expense reporting, and ensure timely processing of executive requests.
• Arrange international travel, including special accommodations, and oversee detailed itineraries.
• Process and approve time-off requests using Workday, ensuring compliance with organizational policies.
• Prepare materials for All Hands meetings, including PowerPoint presentations and event tracking.
• Monitor security events and manage executive registrations for key activities.
• Serve as a liaison between HQ Security, Legal, and other departments to facilitate smooth operations.
• Communicate with stakeholders and follow up on pending matters to maintain workflow efficiency.
• Utilize Microsoft Office Suite, Teams, and SharePoint to manage administrative tasks effectively. Requirements
• Minimum of 7 years of experience as an Executive Assistant, supporting senior-level executives ideally in a technical or corporate environment.
• Proficiency in managing calendars, travel arrangements, and expense reporting.
• Strong technical skills, including expertise in Office Suite, SharePoint, and Teams.
• Familiarity with systems such as Concur and FedEx processes.
• Ability to create and manage Excel spreadsheets with a high degree of accuracy.
• Exceptional organizational skills and attention to detail.
• Proactive problem-solving abilities and a strong sense of initiative.
• Japanese language skills are a plus but not required.
Your qualifications and experience should include:
+ College degree is preferred
+ Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, OneDrive, SharePoint, Adobe).
