    New Jersey Natural Gas (NJNG), a subsidiary of New Jersey Resources is seeking a Clerical Assistant to provide administrative support to the SAVEGREEN Business Unit to help achieve strategic and tactical objectives. Prepare and maintain team performance reports. Collaborate with the Procurement Management Team to ensure accurate and timely submission of departmental invoices in Oracle.

    Major Responsibilities:

    + Oversee and continuously improve all administrative functions within the business unit.

    + Compile and submit monthly reports for all ProCard charges; maintain receipts and a detailed charge log.

    + Organize, reconcile, and process departmental invoices in Oracle.

    + Maintain accurate records of staff certifications for audit purposes; track continuing education credits and report to accrediting agencies (e.g., Building Performance Institute - BPI) to ensure compliance.

    + Manage and maintain equipment logs for auditing tools; implement and monitor a rotating maintenance schedule.

    + Compile and reconcile monthly mileage logs for auditing staff; prepare and submit reports to the Manager, Workload Administration.

    + Coordinate logistics for contractor meetings and training sessions, including space, IT, and catering needs; liaise with external training organizations as needed. Maintain attendance records and report to management.

    + Maintain a training database for contractors to support future class planning.

    + Process rebate submissions; verify completeness, follow up with customers for missing information, and ensure timely processing to meet departmental goals.

    + Manage contracts for office equipment and external contractors/agencies; ensure monthly billing accuracy.

    + Order and maintain office supplies; ensure functionality and maintenance of office equipment.

    + Support ad-hoc requests from SG staff as needed.

    + Provide backup support for audit scheduling.

    Position Requirements:

    + High school diploma or GED required; an associate degree or equivalent work experience (minimum two years) is preferred.

    + Minimum of two years of relevant administrative or office experience; an associate degree may be considered in lieu of experience.

    + Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint; experience with Oracle or similar systems is preferred.

    + Strong written and verbal communication skills.

    + Excellent interpersonal and customer service skills, including professional telephone etiquette.

    + Self-motivated with strong organizational and time management abilities.

    Compensation: Expected base pay range for this role will be $52,400- $67,100.

     

    Base pay is based on several factors including, experience, skills, and knowledge.

     

    This role will be eligible to participate in an annual short term incentive program.
