It includes a 473-bed community teaching hospital, a 76-bed inpatient psychiatric facility in Westport, a large multispecialty provider group, and special needs services for adults and children. St. Vincent’s is the first hospital in Fairfield County to be integrated into the Hartford HealthCare network, and is the system’s second-largest hospital. *Job Summary:* Serve patients by greeting them, answering routine questions, registering patients, and maintaining records and accounts. Responsible for creating positive patient experience by facilitating communication between patients and healthcare providers and ensuring efficient office operations. Responsible for scheduling appointments which will provide timely, accurate, friendly, and clinically appropriate patient access. The Patient Service Coordinator responds to incoming correspondence from patients, caregivers, healthcare providers, and beyond, in accordance with patient privacy and safety standards. *Essential Functions/Responsibilities: *** · Delivers exceptional customer service with HHC brand experience. · Welcomes patients in person or on the telephone and take detailed messages as needed. · Registers arriving patients, including insurance verifications, patient demographic updates, and video visits. · Uses Epic, patient portal and appointment reminder systems, mobile applications, and other forms of technology to manage scheduling, interact with patients and providers, and update files and patients’ records. · Manages high call volumes. Follows Standard Work to ensure efficient patient experience. · Corresponds with clinical operations and/or providers as necessary. Transfers calls as appropriate to clinical team members, including complaints and escalations. · Schedules patient appointments and informs patients of essential preparation requirements prior to visit (referrals, x-rays, medical reports, etc.). · Schedules follow-up appointments and associated testing, documents these appointments and ensure the necessary referral authorization is obtained. · Monitors and maintains front desk related work lists and work queues, including authorization work queues. · Coordinates medical record requests. · Responsible for scanning of non-clinical forms. · Collects co-payments and office charges as needed and explains office payment billing policies to patients. · Reconciles cash drawers at the end of each session and refers payment and insurance problems to Billing Department. · Creates, validates and sends out self-pay estimates. · Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information. · Monitors inventory/ordering of office supplies. · Maintains a clean waiting room and follows infection prevention protocol. · Continuously improves one’s own performance through training & coaching, accesses and responds to feedback provided through the quality monitoring tool and productivity reporting. · Teach, coach and mentor new team members in similar role. · Provides back-up support to other front desk staff and performs other related duties in support of efficient operations. · Performs other related duties as required. **Education** · High school diploma/GED equivalent, OR a minimum of 2 years’ customer service experience **** **Experience** · 1 Year customer service experience in a fast-paced medical office · Epic working experience · Medical Terminology Training **** **Knowledge, Skills and Ability Requirements** ** · Consistent commitment to patient centered environment which is rooted in culture and values and reflect this commitment through the demonstration of its expected behaviors · Have passion in serving patients and thrive in a fast-paced ever-changing environment · Excellent written and verbal communication skills - ability to communicate in other languages highly desirable · Proficiency in using computer systems and basic software applications · Attention to detail and accuracy in patient data entry and scheduling · Ability to always adhere to HIPAA and other privacy and compliance policies · Strong problem-solving skills and the ability to make decisions independently · Excellent organizational skills, flexibility and ability to switch tasks frequently · Self-motivation, high energy, tenacityand the ability to work effectively in a team environment · Ability to travel independently to satellite offices with or without advanced notice **** **Language Skills** · Multilingual preferred We take great care of careers.
