    What will you be doing:

    The Transplant Data Coordinator is responsible for generating and analyzing reports on patient treatments and outcomes, responding to information requests, and working on projects to improve data accuracy and operational efficiency. The Transplant Data Coordinator oversees the development, implementation, and maintenance of a database that supports data collection for various purposes, including quality improvement, research, regulatory compliance, and patient care. The Transplant Data Coordinator manages clinical data, generates reports, and presents findings to support planning and strategy development. The Transplant Data Coordinator works with a diverse group of personnel, manages high volumes of work, and ensures data quality and compliance with regulations.

     

    + Conducts in-depth analysis of clinical and operational data from multiple sources, including patient charts, BMTips, and electronic medical records (EMRs). Ensures data accuracy, completeness, and relevance before further processing. This includes interpreting complex datasets related to transplant cases such as diagnosis codes, patient demographics, lab/pathology reports, disease specifics, transplant timelines, graft sources, conditioning regimens, comorbidities, GVHD, donor information, relapse rates, and transplant-related mortality.

    + Oversees the maintenance and integrity of multiple databases and data systems through systematic quality control procedures, routine maintenance, and documentation. Develops and executes complex queries and reports, determines optimal data presentation formats (e.g., graphs, tables), and consults with stakeholders on data extraction and submission. Ensures data accuracy, performs regular backups, and supports the implementation and upkeep of new database systems.

    + Collects, Abstracts, and Summarizes detailed Transplant data from both internal and external electronic medical records (EMR). Updates transplant-specific standard operating procedures every two years.

    + Following analytical review, accurately enters validated data into designated systems. Applies clinical knowledge to interpret nuanced transplant-related data, ensuring that all entries reflect the clinical context and meet regulatory and institutional standards.

    + Completes and submits all required forms to external entities (i.e. to CIBMTR via FN3) in a timely manner.

    + Ensures transplant-specific records comply with FACT standards.

    + Provides survival data to meet annual requests for information (RFI) from transplant networks, insurers and other third-parties (i.e. ASTCT), including contractors and regulatory agencies.

    + Ensures compliance with external entities (i.e. CIBMTR) Continuous Process Improvement form submissions.

    + Works closely with clinical teams, data managers, and other stakeholders to clarify data points, resolve discrepancies, and support data-driven decision-making.

    + Actively participates in scheduled team and department meetings, contributing to quality improvement efforts as needed.

    + Engages in peer review processes to deliver constructive feedback aimed at enhancing quality standards.

    Qualifications

    Experience Requirements:

    Two (2) plus years of experience in clinical data management, preferably in a healthcare or hematology/transplant setting.

     

    Knowledge of medical terminology and medical records; oncology or BMT terminology preferred.

    Educational/Certification Requirements:

    Bachelor’s degree in business, healthcare administration or related area.

     

    CITI Course Certification.
