WSP USA Inc. (WSP) is seeking a detail-oriented **Senior Construction Administrator** to join our Earth and Environment Team in our **West Palm Beach, FL** office. This **hybrid position** will support our Construction Management Services teams throughout central and south Florida, including assistance with contract administration, document controls and Quality Assurance programs. The ideal candidate will have excellent interpersonal skills, as they will interface with various stakeholders and support civil works construction projects. Your Impact
+ Interface with client project managers, construction managers, Quality Assurance / Quality Control (QA/QC) teams, Engineers, designers, stakeholders, and contractors;
+ Use the Horizon financial platform (Oracle) to set up new opportunities and new projects,
+ Obtain purchase orders for vendors and subcontractors working on program projects, including writing scopes of work, preparing purchase requisitions, tracking insurance, redacting client contracts, obtaining safety documentation, and filing signed documents;
+ Attend and participate in project construction meetings, record and document meeting minutes and maintain correspondence and contractual administrative requirements on the status of the construction.
+ Maintain, manage and control workflow of contract documents, QA/QC construction daily reporting, photo logs, data and documentation, contractor provided submittals, shop drawings, RFIs, RFPs, VE Proposals and substitutions within the data management portals.
+ Maintain and assist with the review and reconciliation of progress reports, contractor’s progress payments and change orders.
+ Maintain, control, and audit contractor’s certified payrolls, assist in evaluating wage rates and worker payments in accordance with the requirements of the Davis Bacon Act.
+ Review financial status of projects using various dashboards and reports;
+ Interface with the WSP project accountants and assist in the maintenance of the project cash flow.
+ Submit vendor invoices to our AP system, track approval workflow and payment status;
+ Track and manage compliance with requirements of quality management processes or plans;
+ Coordinate document delivery, updates and filing.
Who You Are
Required Qualifications
+ Bachelor of Science (BSc) degree;
+ Minimum of 3-5 years(s) relevant SFWMD construction administration experience with Civil Works construction support;
+ Must possess ability to learn a new financial system (Oracle Fusion platform) with mentoring;
+ Strong problem-solving abilities, attention to detail, self-motivation and organization to track multiple requirements at once;
+ Familiarity with project management practices and procedures;
+ Computer skills and experience with industry standard commercial computer software including Microsoft Office (Outlook, Word, Excel, and PowerPoint);
+ Excellent interpersonal skills and customer service orientation, a positive attitude, and ability to work both independently and within groups;
Preferred Qualifications:
+ Experienced with SFWMD and USACE contract administration and management, document control protocols and data management systems
+ Work experience in a consulting environment or similar-project-based business; and
+ Intermediate to advanced understanding of Oracle, Adobe Acrobat, and Microsoft Suite.
