    Job Description

    This position leads and supervises the Office Services department which provides daily operational support of Minnesota State's System Office, including office space, fleet management, mail, and inventory and purchasing services at multiple system office locations throughout the state. The position's duty location is at the St. Paul office.

    Salary Range:

    $30.55 - $44.24/hourly ($63,788 - $92,373/Annually)

    Minimum Qualifications

    + Five (5) years of experience managing office operations including experience with property management, such as space and equipment leasing practices, office space design, and supervision of employees.

    + Knowledge of the Minnesota State and the state's budget, contracts, bidding and procurement procedures sufficient to assure compliance with applicable policies and procedures.

    + Financial skills sufficient to forecast and develop budgets based on historical data and events, create purchase orders, monitor office inventory and expenses, reconcile differences between invoices, receipts and purchase orders, and maintain accurate budget records and reports.

    + Knowledge of inventory control systems sufficient to maintain and update inventories of office supplies, equipment and furniture.

    + Knowledge of record retention requirements and familiarity with the state's Data Practices Act sufficient to establish and maintain a record management systems.

    + Knowledge of federal and courier mail processing requirements sufficient to manage in-going and out-going mail services for an office.

    + Computer software skills, including knowledge of email, word processing, spreadsheet, database, graphics and other business software applications sufficient to prepare, create, format, edit, print, save and/or attach a variety of documents, including emails, memos, reports, letters, spreadsheets, tables, charts, graphs.

    Preferred Qualification

    + Bachelor's degree in business administration or a related area.

    + 8 years of experience managing office operations including experience with negotiating space and equipment leasing, office space design and build out, and supervision of employees.

    + Demonstrated ability in successfully working with diverse populations.

    + Working knowledge of social media, SharePoint and project management tools.

    + IFMA, CPM credential

    + Abil1ty to review, evaluate and critically assess work in progress, identify the need for corrective actions and recommend acceptance of contract work.

    + Customer services skills sufficient to listen to and understand needs and provide accurate information and assistance in a timely, thorough, courteous, respectful, and professional manner in person, over the phone and in writing.

    + Organizational skills sufficient to manage multiple projects simultaneously, delivering results and meeting deadlines.
