Title:Practice Manager - Dental Department
Reports to:Chief Operating Officer
Rate of Pay:$70,000 - $80,000 per year
Work Schedule:Primarily Monday - Friday, 8:00 a.m. - 4:00 p.m., with occasional flexibility as required by the needs of the Health Center; No on-call, weekends, or holidays.
Position Summary:
Responsible for the management of the Community Health Center of the North Country’s (CHCNC) dental sites and supporting the operational needs of the practices.
Primary Responsibilities:
1.Responsible for the operational management of dental sites.
a. Integrates CHCNC mission and core values within the sites.
b. Responsible and accountable for facilitating providers’ work scheduling in direct collaboration with other Practice Manager(s) as applicable.
c. Oversee the management of provider schedules with a focus on follow-up to no-show and canceled appointments.
d. Clearly communicate and collaborate with the senior leadership team, the physicians/dentists, other providers, and support staff.
e. Provide direct support to providers as needed throughout the day.
f. Assist in investigations as needed, including investigations of patient complaints/incidents, and perform staff education in the resolution of events.
g. Review provider production reports (on a periodic basis, i.e., monthly, quarterly, annual, and ad hoc) for performance standards (productivity, service, patient satisfaction, etc.) and assist in the development and communication of action plans for improvement.
h. Assist in the management of the implementation and continued use of the electronic medical record (EMR), including meaningful use.
i. Collaborate with the management team to address daily operational issues and solve problems to assure the delivery of quality patient care.
j. Develops plans as necessary to ensure the successful operation of all sites.
k. Responsible for Health Center policies and procedures as assigned, including writing, assuring they remain current, and training staff.
l. Works in collaboration with all other CPANC/CHCNC departments as warranted.
m. Participates in ad hoc projects as assigned.
2.Responsible for the management of departmental staff.
a. Manage, coach, and oversee staff members at multiple CHCNC Dental sites following established standards and practices.
b. Assist in human resource activities for staff development, including job posting, interviewing, hiring, orientation, training, and continued education of staff on all practice workflow processes to ensure compliance with regulations and office performance standards.
c. Conduct regular performance reviews, provide constructive feedback and/or disciplinary action as needed, and implement professional development programs.
d. Foster a positive, collaborative work environment that promotes high employee morale and team cohesion.
e. Ensure all providers and staff members are adequately trained in the use of the EMR and monitor compliance.
3.Responsible for the financial oversight of the dental sites.
a. Manage the practice’s budget and resources, ensuring financial sustainability.
b. Monitor and control practice expenses; oversee medical and clerical supply levels, including ordering and monitoring supply cycles to ensure all providers and staff members have the supplies and tools needed to provide a satisfactory and high-quality patient encounter.
c. Monitor and report financial performance, including opportunities for cost savings and revenue generation.
d. Assists in the development and monitoring of insurance contractual relationships, including knowledge of provider participation, coding and billing, financial counseling, and other financial processes.
4.Responsible for oversight of patient services.
a. Assures that all patient encounters, whether in person, electronically, telephonic, or via other communication methods, are achieved in a professional, timely, and accurate manner.
5.Responsible for compliance and quality assurance within the health center.
a. Adheres to CHCNC or CPANC policies and procedures, protocols, and guidelines, and is a resource to providers and staff.
b. Works to establish, educate, maintain, and monitor operations to assure all regulatory and practice standards are met. Assists in facilitating the ongoing education of all site providers and staff.
6.Performs other duties as assigned.
Requirements
+ A bachelor’s degree in health care management, business, or a related field is required.
+ A minimum of three (3) years of practice management in a healthcare setting; strong human resources management/administrative background, strong knowledge of health center revenue cycle operations, financial systems, and analysis, computer systems, and applications required.
+ CPR certification
+ Skilled in personnel management, organizing, planning, exercising initiative, judgment, problem-solving, decision-making, development, and maintaining effective relationships with providers, clinical and clerical staff, patients, and the public.
+ Effective verbal and written communication skills, knowledge in electronic health record implementation and usage required.
+ Medium work; Ability to lift and carry up to 25 lbs.
+ Excellent hand-eye coordination
+ Ability to sit for long periods
+ Ability to tolerate extensive exposure to a computer monitor/screen
+ Ability to tolerate extensive use of the computer keyboard
