    Job description

    Summary:

    Responsible for processing incoming orders, ensuring accuracy and efficiency in data entry. As an Order Entry Specialist, you will play a critical role in ensuring our internal and external customers receive their orders on time and with the correct specifications.

     

    Job Location: On site - Sarasota, FL

    Essential Duties & Responsibilities:

    •• Accurately input customer orders into our ordering system, ensuring all information is correct and up-to-date and process orders in a timely and efficient manner to meet customer delivery expectations.

    • Monitor order status throughout the releasing process and work with designated personnel to ensure timely receiving. (Responsible to monitor incoming orders )

    • Performs contract review of all orders for customer requirements to ensure is processed per negotiated requirements including quality and importing and exporting requirements are followed. (NFF, TAT, Cert requirement etc..)

    • Resolve any issues that arise with customer orders including changes, cancellations, or discrepancies in the Repair Order.

    • Maintain accurate data entry records and ensure the order processing system is updated in real-time.

    • Responsible to ensure sales orders are entered into ERP system and / or Other Support databases.

    • When applicable validate that parts required are enter into the ERP based on technician inputs (MRO)

    • Participate in continuous process improvement initiatives to ensure maximum efficiency in the order entry process.

    • Maintain all required archives per SAFRAN record retention policy accordingly to the Quality Management System and Customer requirements.

    • Responsible to update ERP system in a timely manner for all customer changes request and ensuring demand alignment is flow down with detailed order management. ( Customer Master Data)

    • Outbound (and occasionally inbound) logistics of the product and parts. Delivery (MRO)

    • Outbound and inbound management of subcontracted parts. (MRO)

    • Communicate and follow up internal activities with the functional teams involved in achieving customer commitments.

    • Assures compliance with all export control regulations- ITAR

    • Fundamental understanding of government orders rated

    • Fundamental understanding of FAA requirements for repair.

    • Adheres to safe work practices and contributes to the evolution of the health, safety, and environmental program and culture.

    • Perform other administrative duties as assigned.

    • May be required to work extra hours, including evenings and nights, during business peaks, with regular and predictable attendance being essential.

     

    Candidate skills & requirements

    Basic Qualifications :

    • As minimum Technical Degree from an accredited institution and 2 years related experience

     

    Or In lieu of a degree, a minimum of 2 years' experience in Customer and/or Sales or similar industry.

     

    • Proven experience as an order entry specialist or similar position with experience in customer service or related fields

    • Excellent attention to detail and accuracy in data entry

    • Strong organizational and time-management skills to manage multiple priorities and tasks simultaneously

    • Excellent communication and active listening

    • Experience on data entry

    • Must adapt to various software programs

    • Flexibility

    • MS Office skill are required

    Knowledge/Skills:

    • Agility to problem solving

    • Ability to work independently as well as part of a team

    • Ability to manage multiple accounts and tasks concurrently.

    • Capable of working in a deadline-oriented environment.

    • Comfortable working in a fast-paced environment with tight deadlines

    • Team work skill

    Work Environment:

    Manufacturing setting in an office space.

    Physical Demands:

    80% Mobility/ 20% Stationary
