Essential Functions of the Job:
+ Maintain and organize maintenance department records, files, and documentation.
+ Schedule and track gage calibration, environmental testing, and other routine inspections.
+ Ensure timely record retention and reporting for environmental, safety, and maintenance compliance.
+ Coordinate waste management activities and schedule regular pickups and vendor services.
+ Maintain and update Safety Data Sheet (SDS) files and ensure accessibility for all employees.
+ Maintain and organize Sustainability Reporting Documentation.
+ Assist with purchase requisitions, vendor communication, and invoice processing related to maintenance services.
+ Prepare reports, correspondence, and other documents as needed to support the Maintenance Manager.
+ Assist with tracking preventive maintenance schedules and work orders as directed.
+ Support department safety initiatives by maintaining required documentation and assisting with audits.
+ Perform other administrative duties and projects assigned to support maintenance operations.
Knowledge, Skills and Abilities (KSA’s):
+ Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
+ Attention to detail and accuracy in recordkeeping and data entry.
+ Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with maintenance management systems a plus.
+ Excellent communication, both written and verbal, and strong interpersonal skills.
+ Ability to work independently and maintain confidentiality.

Education and Experience:
+ High school diploma or equivalent required; associate degree in business administration or a related field preferred.
+ 2 years of administrative or clerical experience is strongly preferred, ideally in a maintenance, manufacturing, or facilities environment.
Working Conditions:
+ Primarily office-based setting within a manufacturing environment. May require occasional visits to production or maintenance areas within the plant.
+ Frequent sitting for extended periods of time.
+ Occasional lifting up to 10 pounds, stooping, reaching, and bending.
+ Ability to sit, stand, and walk for extended periods. Must be able to lift to 20 pounds occasionally to manage files or supplies.
