Summary:
The Financial Reporting Specialist is responsible for supporting the financial aspects related to fleet operations and projects. This includes assisting with budgeting, financial reporting, and resource allocation for fleet management, assisting with the financial operations of a fleet comprising approximately 1,000 vehicles. The role also involves managing leasing activities and collaborating with various departments to ensure compliance with corporate and regulatory policies. Additionally, the Specialist will be responsible for the compliance, reconciliation, and auditing of E-ZPass/BESTPass, auditing of vehicle usage and fuel cards, and performing other duties as assigned by their direct supervisor.
Roles and Responsibilities:
Financial Planning & Budgeting:
• Assist the Director/Manager in the development of project budgets and financial forecasts.
• Monitor project spending to ensure it aligns with the established budget.
Financial Reporting:
• Assist in preparing and reviewing financial reports for ongoing projects and fleet-related financial data, including vehicle leases and postage services invoices.
Financial Monitoring:
• Assist in the monitoring and tracking of financial progress against budgets and project milestones.
• Ensure the timely identification and resolution of financial issues or risks.
Cost Management:
• Assist in managing project costs, ensuring cost-control measures are implemented.
• Analyze variances between projected and actual costs, recommending corrective actions where necessary.
Invoice & Contract Management:
• Assist in managing contracts to ensure that financial terms and conditions are adhered to.
• Review, process and receipt vendor invoices to ensure they are paid accurately and on time.
• Liaise with procurement when necessary to ensure proper adherence to contractual obligations.
Collaboration with Stakeholders:
• Coordinate and collaborate with project managers, finance teams, fleet management, and external stakeholders to ensure the smooth execution of financial tasks within projects.
Documentation & Record Keeping:
• Maintain accurate and up-to-date financial records, including invoices, payment approvals, budgets, and financial reports.
Fleet Management:
System Maintenance & Development:
• Assist in maintaining and updating the fleet management system for approximately 800 vehicles.
Fleet Operations Management:
• Credit card, Ez-Pass and Electric Vehicle Charging Cards distribution and security.
Vehicle Replacement Programs:
• Assist in the preparation and updating of multi-year non-revenue vehicle replacement programs.
• Review the vehicle replacement cycle, from planning to receipt of new vehicles, and coordinate vehicle retirement and disposal.
Monitoring & Reporting:
• Assist in monitoring and reviewing reports on vehicle conditions, mileage, accidents, fuel purchases, maintenance activity, and compliance with preventative maintenance programs.
• Support the development of a long-term vehicle replacement plan (up to 10 years).
Vehicle Resale/Disposal:
• Assist in financial reporting and tracking of the resale of disposed or retired vehicles, ensuring optimal returns and compliance with corporate policies.
Education, Experience, and Qualifications:
• Bachelor’s degree in Finance, Accounting, Business Administration, or a related field, or a minimum of 4 years of relevant industry experience in lieu of a degree.
• Minimum 2 years of experience in financial administration, project management, or related roles.
• Proficiency in financial software and Microsoft Office Suite (Excel, Word, PowerPoint).
• Strong analytical, numerical, and problem-solving skills.
• Excellent communication skills with the ability to present complex financial data clearly.
• Ability to manage multiple projects and meet deadlines in a fast-paced environment.

• Strong time-management skills with the ability to prioritize tasks effectively.

Working Environment:
This position requires a balance of financial administration skills with hands-on fleet management coordination, ensuring financial accuracy, cost control, and compliance with company policies. The Fleet Financial Coordinator assists in key operational and financial processes, making it a pivotal role in supporting both the financial and operational success of fleet management.
