Description
The Administrative Assistant provides administrative support. The Administrative assistant is responsible for assisting in the day-to-day operations of the office. Duties will include phone coverage, document handling, scheduling, and other various administrative duties.
MAJOR RESPONSIBILITIES/ACTIVITIES:
+ Maintain the front desk reception area as the welcoming face of the office, serving as the primary greeter and overall receptionist for all visitors and incoming calls.
+ Provide phone coverage for the office.
+ Perform general clerical functions such as sorting, routing, and distributing USPS mail, Fedex, UPS shipments.
+ Ensure adequate office supply levels by monitoring inventory regularly and placing timely orders for replenishment as needed.
+ Creating, maintaining and closing out job files.
+ Input data in a timely and accurate manner into a computerized system.
+ Accounts Receivable Functions (maintaining daily work reports, ensure time is accounted for and invoiced).
+ Backup for Accounts Payable and Employee Travel Assistance.
+ Follow policies and procedures in accordance with standard operating procedures.
+ Additional responsibilities may be assigned as the candidate develops and is able to take on a greater workload.
MINIMUM REQUIREMENTS:
+ High School diploma or equivalent
+ Attention to detail
+ Dependable
+ Team oriented and positive attitude
+ Strong organizational, communication, and customer service skills
+ Ability to adapt to changing demands, multi-task, and meet deadlines
+ Strong written and verbal communication skills
+ Ability demonstrated problem-solving skills
+ Service driven and self-motivated
+ Strong desire to learn
+ Microsoft (Excel, Outlook, PowerPoint, Word)
ESSENTIAL PHYSICAL FUNCTIONS:
+ Frequent lifting up to 30 lbs.
