    POSITION OVERVIEW

    APPLE Corps is a leadership program at John Jay College of Criminal Justice committed to helping students explore public service, social justice, equity issues in policing, and civic and community engagement in New York City. Students are supported by the coordinated care of a team of academic and career advisors for four years, including summers.

     

    The Administrative Assistant (Assistant to HEO) provides full-time administrative and operational support for the APPLE Corps program and related student academic success initiatives. Reporting directly to the Program Manager, the Administrative Assistant plays a vital role in coordinating program operations, ensuring timely communication, and supporting the delivery of services that promote student retention, credit momentum, and graduation.

    Responsibilities

    + Provide day-to-day administrative support for APPLE Corps and Student Academic Success programs, including scheduling, communications, recordkeeping, and compliance monitoring.

    + Assist the Program Manager with planning and executing workshops, cohort meetings, orientation, and other student engagement activities.

    + Coordinate logistics for student success programming, including room reservations, materials preparation, and event follow-up.

    + Maintain program data and assist with the preparation of reports to track student enrollment, academic progress, and engagement.

    + Manage correspondence with students, faculty, and staff to ensure timely responses and clear communication.

    + Support budget tracking, procurement, and grant-related reporting in compliance with CUNY policies.

    + Supervise and guide part-time staff, peer leaders, and work-study students as assigned.

    + Serve as the first point of contact for students seeking information, advisement referrals, or assistance with program requirements.

    + Support the Program Manager and student success staff with strategic initiatives, assessment projects, and continuous improvement efforts.

    QUALIFICATIONS

    Bachelor's Degree required.

    PREFERRED QUALIFICATIONS

    The successful candidate will be a team player with a demonstrated ability in peer program design and implementation and with extensive experience in leadership development for urban college students. The ability to communicate clearly to students, faculty, and administrators orally and in writing is a must.

    Strong preference will be given to candidates with:

    * Knowledge of CUNY systems, policies, and student support structures.

    * Experience coordinating student-facing events or success initiatives.

    * Strong organizational, communication, and project management skills.

    * Ability to handle confidential information with discretion and professionalism.

    * Commitment to equity, student development, and supporting diverse learners.

    CUNY TITLE OVERVIEW

    Supports projects, initiatives, and activities that impact an academic or administrative department.

     

    - Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

     

    - Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

     

    - Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

     

    - Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

     

    - Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

     

    - Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

     

    - May supervise office staff and student workers.

     

    - Performs related duties as assigned.
