Description
Key Responsibilities:
+ Provide administrative support for construction projects, including preparing and processing documents, reports, RFIs, change orders, and permits.
+ Maintain project files and documentation, ensuring everything is organized and easily accessible.
+ Schedule meetings, coordinate calendars, and manage logistics for project managers, superintendents, and stakeholders.
+ Assist with bid preparation, vendor communications, and tracking subcontractor compliance.
+ Liaise with field teams, clients, architects, and suppliers to support smooth project execution.
+ Process invoices, purchase orders, and expense reports related to construction activities.
+ Support office operations including answering phones, handling mail, ordering supplies, and greeting visitors.
+ Track deadlines, monitor project progress, and update relevant databases or construction management platforms.
+ Help implement digital tools or workflow automation initiatives to enhance operational efficiency.
+ Keep confidential information secure and support the team with ad hoc administrative tasks as needed.
Requirements
Qualifications:
+ High school diploma or equivalent; additional education or certifications in business administration is preferred.
+ Proven experience as an administrative assistant, office coordinator, or similar role.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Exceptional organizational skills with strong attention to detail.
+ Effective written and verbal communication skills.
+ Ability to multitask and prioritize responsibilities in a fast-paced environment.
+ Professional demeanor with a focus on customer service and teamwork.
