About the Role
The Executive Administrative Assistant reports directly to the CEO, and is a high-visibility, high-impact role responsible for providing advanced executive-level support to the CEO, COO, CFO, and CNO at Bakersfield Behavioral Healthcare Hospital. This position oversees and coordinates all provider credentialing activities, manages Medical Executive Committee functions, supports the governance structure of the hospital—including Board of Directors meetings—and ensures full compliance with regulatory, accreditation, and organizational standards.
The Executive Administrative Assistant must possess exceptional professionalism, impeccable organizational and interpersonal skills, sharp critical thinking, and the ability to anticipate the needs of senior leadership in a complex behavioral healthcare environment. This role frequently handles confidential, sensitive, and time-critical information and plays a vital part in maintaining operational excellence, regulatory readiness, and smooth administrative workflow.
Supervision of the Reception Team may be assigned depending on candidate capability, workload distribution, and hospital operational needs.
Essential Duties & Responsibilities
Executive Support
+ Serve as the primary administrative partner and right hand to the CEO, COO, CFO, and CNO.
+ Manage executive calendars, prioritize scheduling, coordinate travel, and facilitate high-level communications.
+ Prepare, review, and edit executive correspondence, reports, presentations, and policies with a high degree of accuracy and professionalism.
+ Maintain strict confidentiality and execute all duties with discretion, emotional intelligence, and sound judgment.
Medical Staff & Credentialing
+ Coordinate and manage the full provider credentialing lifecycle, including primary source verification, onboarding packets, re-credentialing, and maintenance of current privileges.
+ Ensure full compliance with Joint Commission, CMS, CDPH, and hospital bylaws related to credentialing and medical staff governance.
+ Maintain accurate provider files, credentialing logs, FPPE/OPPE documentation, and ensure 100% regulatory readiness.
+ Serve as the administrative lead for the Medical Executive Committee (MEC) including agenda preparation, minute taking, follow-up actions, and documentation.
Governance & Board Support
+ Serve as the administrative liaison for Board of Directors activities.
+ Prepare board packets, manage agendas, take minutes, track action items, and ensure compliance with hospital bylaws and state/federal regulatory requirements.
+ Maintain a thorough understanding of hospital bylaws and governing documents, ensuring all administrative actions align with organizational expectations.
Regulatory Compliance & Administrative Operations
+ Support the C-Suite with policy management, contract routing and tracking, and facility-wide compliance initiatives.
+ Maintain organized, auditable systems for credentialing, minutes, contract logs, bylaws, and all administrative documentation.
+ Assist with readiness for surveys, audits, inspections, and leadership walk-throughs.
+ Coordinate meetings, committee functions, and cross-departmental initiatives requiring executive oversight.
Reception Oversight (If Assigned)
+ Provide supervisory guidance to Reception Team members, ensuring exceptional service, professionalism, and alignment with hospital standards.
+ Assist in staffing, training, performance expectations, and workflow optimization.

Though we do need to meet some minimum requirements for the position such a High School Diploma or Equivalent, and the listed requirements below, we're really looking for people who bring their HEART to work.
If you have previous experience as an EA in a hospital or other large facility then your application to this position will be immediately moved to the shortlist of candidates.
Qualifications
Required
+ Minimum 3–5 years of experience as an Executive Assistant supporting C-suite leaders in a hospital, healthcare system, or highly regulated environment.
+ Strong understanding of administrative operations, credentialing processes, contract management, and executive workflow.
+ Exceptional verbal and written communication skills.
+ High emotional intelligence, professionalism, and situational awareness.
+ Demonstrated ability to work under pressure, manage competing priorities, and maintain accuracy in a fast-paced environment.
+ High-School Diploma or GED
+ Advanced proficiency in Microsoft Office Suite, credentialing databases, and document management systems.
Preferred
+ Bachelor’s or advanced Degree in Business Administration, Healthcare Administration, or related field.
+ Experience with CDPH, CMS, and/or The Joint Commission.
Candidates should be able to read, write, and communicate in English.

Additionally, you'll complete a "Handle-With-Care" Physical Restraint Technique Training during your orientation so that you know how and when to engage when such an event occurs.

The position has an annual salary between $70,304-$87,085 based on experience, education + qualifications
