Description
Position Summary:
Person in this position will be responsible for the clerical and secretarial needs of the Program Director, Program Manager & Case Manager. Essential Job Functions include those listed below.
Essential Job Functions:
+ General administrative/secretarial support, scheduling appointments, correspondence, handling incoming/outgoing phone contacts, typing monthly, quarterly and annual reports and other related duties;
+ Work with management on the development of Power Point presentations;
+ Assist in the development of Excel spread sheets;
+ Assist with coordination of travel arrangements;
+ Coordination and preparation of designated programmatic meetings including meeting announcements, agenda, meeting material and recording/transcription of minutes of meetings;
+ Provide clerical support for other administrative staff as requested;
+ Provide clerical functions as necessary to maintain the quality of WestCare’s policies and procedures manuals;
+ Maintain filing system for administrative files and any other relevant files;
+ Review and distribute, when appropriate, all incoming mail addressed to the program and administrative staff;
+ Assist in the coordination of training, preparation of certificates, submission of documents for CEU certification;
+ Embrace and embody the mission, vision, guiding principles, clinical vision and goals of WestCare Foundation; and
+ Perform all other duties as assigned.
Qualifications
Essential Qualifications:
Education:
+ High School Diploma or equivalent.
Experience and Competencies:
+ Two (2) years of experience in providing administrative and clerical services to is preferred;
+ Intake and assessment experience is preferred;
+ Marketing and/or sales experience preferred;
+ Bilingual is preferred;
+ Excellent communication skills;
+ Ability to exercise good judgment and discretion;
+ Ability to work well in a team environment;
+ Adherence to the highest standard of ethical conduct, especially to standards governing confidentiality;
+ Professional appearance and demeanor;
+ Must be culturally/linguistically sensitive to populations served;
+ Valid driver’s license and ability to obtain and maintain WestCare’s vehicle insurance is required; and
+ CPR Certification and First Aid Certification.
Working Conditions:
+ Work is primarily performed in an office setting; and
+ Some outdoor activities may be required.
