Position Summary
Administrative Assistant performs a wide variety of support and administrative tasks and projects in support of the Bank’s People, Culture and Communications (PCC) team which includes Facilities, Communications, Organizational Development, and HR. Administrative Assistant provides flexible administrative support across multiple teams, ensuring smooth day-to-day operations. This role includes managing meeting logistics, coordinating catering services, and assisting with general office tasks. The ideal candidate is highly adaptable, detail-oriented, and thrives in a dynamic environment.
Key Responsibilities
Administrative
Support:
• Provide coverage for administrative tasks across departments as needed.
• Manage calendars, schedule meetings, and prepare meeting materials.
• Assist with travel arrangements, expense reporting, and document preparation.
• Managing distribution lists and group calendars.
• Creating feedback surveys, monitoring completion rates, and reporting back on responses
• Organizing and coordinating various activities related to presentations and reports, including creating and editing presentations.
• Responsible for collecting information from various sources and combining and consolidating the information into a presentable format.
• Solicit, collect, track and filing required materials to qualify Bank programs for CPE credits, distributing certificates when qualifications have been met.
• Coordinating the employee recognition program, tracking, vetting and posting program award recipients
• Assisting with expense reports by tracking expenses and providing documentation required for expense reports on an ongoing basis.
Meeting & Event
Coordination:
Providing meeting and other training and group gathering support (in-person, or hybrid), which includes communications with attendees around logistics, agendas, creating schedules and circulation of materials, reserving conference rooms, coordinating audio visual support, catering orders and registration and greeting guests, collaborating with the HR team, business leads and vendors.
• Organize meeting logistics, including room reservations and technology setup.
• Act as point of contact for catering requests, ensuring timely and accurate service.
• Confirm headcount, dietary needs, and vendor coordination for catered events.
Vendor & Budget
Management:
• Maintain relationships with approved catering vendors.
• Track catering expenses and reconcile invoices in compliance with budget guidelines.
• Assisting with on-boarding new vendors as needed, processing vendor contracts, invoices and purchase orders as needed, resolving any discrepancies and tracking spend.
• Supporting other employee data tasks for vendors, as needed
Office Operations:
• Support reception duties when required.
• Assist with supply ordering and inventory management.
• Ensure compliance with health, safety, and sanitation standards during events.
• Place supply and gift orders as requested.
• Provide Event support as needed.
• Other duties as assigned.
Qualifications
• High school diploma required; Associate or Bachelor’s degree preferred.
• 2+ years in administrative support or office coordination.
• Experience with event or catering coordination is a plus.
• Proficiency in Microsoft Office Suite and scheduling tools.

Job Type & Location
This is a Contract position based out of Chicago, IL.
Pay and Benefits
The pay range for this position is $25.00 - $28.00/hr.
