Position Summary:
The Office Administrator / Office Manager is an hourly, non-exempt position responsible for keeping day-to-day office operations running smoothly. This role serves as the central point of contact for employees, vendors, and visitors; manages facilities and supplies; supports basic HR, finance, and IT coordination; and helps leadership with scheduling and communications. The ideal candidate is organized, resourceful, tech-savvy, and committed to creating a professional, welcoming, and efficient workplace.
+ Office Operations & Facilities
+ Maintain office supplies, kitchen inventory, and equipment; manage reorder cycles
+ Coordinate building services, cleaning, repairs, and maintenance with landlords/vendors
+ Oversee office safety, access control, and space planning; track seating charts and moves
+ Scheduling, Meetings & Travel
+ Coordinate calendars, meeting logistics, room bookings, and AV support
+ Arrange travel itineraries and accommodations; prepare agendas and materials
+ Support company events, offsites, all-hands, and team gatherings
+ Administrative & Executive Support
+ Draft, edit, and format documents, presentations, and internal communications
+ Maintain filing systems (digital and physical), records, and templates
+ Assist executives with calendar management, expense reporting, and special projects
+ People Operations Support
+ Maintain org charts, office rosters, and emergency contact lists
+ Help track training compliance, support engagement initiatives
+ Policy, Compliance & Process Improvement
+ Maintain SOPs, handbooks, and office policies; ensure signage is up to date
+ Support safety protocols and incident reporting; coordinate drills where applicable
+ Identify process gaps; propose and implement improvements that save time and cost
+ Other Duties
+ Support internal communications and culture-building activities
+ Coordinate charitable or community initiatives
+ Perform ad hoc projects as assigned
+ Experience: Entry-level
+ Education: Associate’s or Bachelor’s degree preferred; equivalent experience accepted
+ Communication: Excellent verbal and written communication; professional presence
+ Organization: Strong time management; ability to prioritize and handle multiple tasks
+ Confidentiality: Trustworthy with sensitive information and personnel matters
+ Customer Service: Friendly, solutions-oriented mindset with a high level of ownership
+ Problem Solving: Proactive, resourceful, and able to resolve issues with minimal guidance
Skills & Competencies
+ Strong proficiency with Microsoft 365 (Docs/Word, Sheets/Excel, Slides/PowerPoint)
+ Calendar and meeting tools (Google Calendar, Outlook, Zoom/Teams)
+ Collaboration tools (Teams), project tools , and ticketing systems
+ Vendor and contract coordination; basic facilities and safety knowledge
+ Attention to detail; process documentation and SOP development
+ Ability to lift up to 25 pounds and set up meeting rooms or event spaces as needed
Competitive Compensation
+ Pay Range: $23.76/hr to $39.61/hr
+ Participation in Annual Incentive Program

Working Hours, Classification & Pay
+ Classification: Hourly, non-exempt
+ Typical schedule: Monday–Friday, 8:00 AM–5:00 PM with occasional overtime for events or projects
+ Work arrangement: Onsite, with occasional offsite errands
