    The Assistant coordinates administrative details for a comprehensive Direct Marketing fundraising program which utilizes a suite of vehicles (primarily mail, email, and social media) in addition to managing correspondence, budget tracking, scheduling meetings, travel arrangements, appointments, and coordinating mail. The Assistant also helps with the retention of members in Jimmy’s Team, Dana-Farber’s Monthly Giving Program, through stewardship and outreach. Responsible for assisting the entire Division with reaching financial goals. Reports to the Senior Director, Annual Giving, Direct Marketing (80%) and the Senior Assistant Director, Annual Giving (20%). _Internal Title: Assistant, Individual Giving_

     

    This position is considered hybrid, 2-3 days onsite at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in New England: Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, or Vermont.

    Annual Giving Direct Marketing Program Administration:

    + Communicate with Jimmy’s Team members whose automatic monthly gifts are set to expire in an effort to renew their membership.

    + Circulate all mail and email proofs for review, conveying any edits to direct marketing agency, and confirming edits are properly made.

    + Upload electronic copies of all direct mail appeals to the DFCI Philanthropy network.

    + Closely monitor and coordinate Annual Giving solicitation calendar to ensure adherence to target dates – update Annual Giving calendar to accurately reflect mail dates.

    + Assist as required in production of other Annual Giving communications, including solicitations, stewardship pieces, web pages, newsletters, brochures, calling scripts, etc.

    + Organize and file appeals sent from Direct Marketing.

    + Process Direct Marketing vendor invoices through the fiscal system. Organize and file Direct Marketing invoices.

    + Participate in visits, asks, and stewardship of Annual Giving donors.

    Reporting and Database:

    + Become familiar with donor database, including relevant canned reports.

    + Enter appeal codes, source codes, and scan lines for Direct Marketing appeals. Assist in reviewing data prior to releasing mailing to vendor.

    + Track Direct Marketing budget and work with Fiscal office and Direct Marketing agency to develop budget forecasts on a monthly basis.

    + Produce and distribute the “Why I Give” Report.

    + Coordinate with information systems staff to produce data files for solicitations.

    General Support/Other Activities as Needed:

    + Answer and respond to Direct Marketing calls and requests from donors, prospective donors, volunteers and sponsors. Take appropriate steps to follow-up. Determine priority of the situation. Suggest response and refer to/inform supervisor as appropriate.

    + Work with Direct Marketing Senior Director and Senior Assistant Director to respond to feedback and questions from donors as appropriate.

    + Assist Senior Assistant Director with other projects as necessary.

    + Assist Annual Giving programs during peak seasons.

    + Participate in weekly Annual Giving phone and email coverage and assist with front desk tasks as requested.

    + Participate as needed in efforts including solicitation strategy teams for key prospects and internal planning efforts. Ad-hoc projects. Other responsibilities as assigned.

     

    High School Diploma or equivalent required. Associate/Bachelor’s degree preferred. No experience required.

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    Attention to detail and excellent communications skills (both written and verbal) are necessary. Superior organizational skills, and ability to manage a variety of projects are key. Directed and self-starting attitude. Strong computer skills and competency in Microsoft Office Suite products, including Outlook and especially Excel, is necessary. Familiarity with database applications and Adobe preferred. Familiarity with e-commerce applications preferred. Ability to work in a fast-paced environment and meet strict deadlines and bottom line goals. High degree of confidentiality must always be exercised.

     

    Pay Transparency Statement

     

    The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.

     

    For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA)

     

    Salary: $26.82/hour
