Description

Recognized New York City firm is currently seeking a Billing Specialist to join their team. In this role, you will collaborate closely with our interior design team to manage billing processes and ensure accurate invoicing for a wide range of customized projects. This position requires strong communication skills, a proactive approach, and the ability to handle diverse client systems and budgets.

Responsibilities:

• Manage billing processes for various design projects, ensuring accuracy and timeliness.

• Coordinate with designers to track and update project hours and expenses.

• Communicate proactively with the design team to provide budget status updates and address any discrepancies.

• Prepare and issue invoices to vendors and clients based on customized project details.

• Calculate and allocate billing amounts, including percentages for purchased or used items.

• Follow up with designers to ensure timely submission of hours and other project data.

• Verify and reconcile billing information to maintain accurate financial records.

• Handle payments and ensure proper documentation for all transactions.

• Collaborate with team members to address billing inquiries and resolve issues.

• Maintain clear and organized records for all billing activities.

Requirements

• 5+ years of experience in billing, accounting, or a related field.

• Familiarity with billing processes for construction or design-related projects.

• Strong ability to work with customized client systems and budgets.

• Excellent communication skills for collaboration with designers and vendors.

• Proficiency in managing calculations and tracking project hours accurately.

• Attention to detail and organizational skills to ensure billing consistency.

• Ability to work proactively and independently to meet deadlines.

• Experience in handling payments and preparing invoices.
