SUMMARY
The Benefit Specialist will be responsible for managing FMLA and ADA leave management programs in accordance to regulatory guideline and compliance laws. Benefit Specialist will also work in partnership with Total Rewards Manager in administration of the hospital benefits program to ensure effective employee communications, timely enrollments, ACA compliance, and efficient claims processing.
RESPONSIBILITIES
• Manages the Americans with Disability Act (ADA) processes for employees who may need accommodations
• Provides management training and education as needed for issues related to Leave of Absence and FMLA.
• Oversee preparation of reports and tax filings and benefit statements according to state and federal compliance requirements for ERISA, including Health and Welfare 5500s, Retirement Plan 5500, and all legal notices to participants including credible coverage notices, retirement SSA 8955 notices, etc.
• Administers and controls all processes for the hospital retirement plans working in conjunction with appropriate retirement vendors.
• Maintains active and cordial relationships with our third party vendors as primary source of contact for all benefit related questions.
• Ensures legal benefit notices are provided at termination of benefits, employment, and transfer of employee status.
• Prepares monthly billings for all insurance and annuity programs, submitting finalized bills to Administration/Accounting for payment.
• Provides eligibility data to short and long term disabilitycarriers.
• Works with FMLA vendor to provide data feeds and provides direct FMLA assistancetoemployees and managers.
• Coordinatesretiree recognitions, parties, and gifts.
• Respondsto specific benefits questions, and/or claims problems from employees and retirees
• Responsible for ensuring plan compliance with ACA requirements.
• Administers processes for ACA compliance relating to hours tracking and employee classification.
• Maintains proper employee classification categories and benefit offerings for ACA compliance via managing transfer files and administering “look back” periods.
• Manages records of employees on leave of absence to determine payment of insurance premiums.
• Facilitates departments and staff with answering general HR questions related to recruitment, employee relations, benefits, and compensation.
• Manages the process of completing life insurance claims, funeral assignments, and claims waivers.
• Provides weekly dental insurance claims funding and bi-weekly flexible spending deduction reporting. • Researches and solves vendor file eligibility issues on weekly file transmissions.
• Works to promote sound employee relations by presenting self in a responsible, dignified, and professional manner.
• Adapts to department changes or unusual circumstances in a way that promotes cooperation and minimizes disruption in the working environment. Interacts in a supportive and cooperative manner emphasizing the teamwork concept. Responds appropriately to changing work environment demands by re-establishing work priorities and time allocation.
QUALIFICATIONS
+ Bachelor’s degree with three (3) - five (5) years in Benefits Specialist role OR associate's degree with CEBS certification plus one (1) - three (3) years in a benefits role OR HSD/GED with CEBS certification with three (3) - five (5) years of job experience.
+ Knowledge of current labor laws with an emphasis on FMLA preferred.
+ Knowledge of current ACA laws preferred.
+ MS Office skills required. Intermediate to advanced Excell and Access experience strongly preferred.
+ Healthcare experience preferred.
