The Business Support Coordinator will play a critical role in supporting key account sales activities by managing the sales order process, assisting with quotes and proposals, and delivering exceptional customer service. This position ensures timely and accurate quoting, order entry, and fulfillment while addressing order related issues to enhance the customer experience. The coordinator will collaborate with sales team members and management to optimize SOPs and drive continuous improvement. This role will manage select sales administration tasks, handle key account financial activity, and generate insightful reports that support strategic decision making and department goals.
Key Responsibilities:
+ Account Sales RFQ/RFP Support:
+ Handle operational tasks related to the quoting and proposal process.
+ Assist the RFQ process to exceed customer expectations in timeliness and quality of presentation.
+ Cross-referencing competitor tool lists and creating Matco quotes.
+ Sales Order Management:
+ Oversee sales order management process, from order entry to fulfillment, to ensure orders are being processed accurately and efficiently.
+ Key account order entry, processing, and system forecasting.
+ Oversee dept backorders and hold orders to maximize sales and deliver high quality customer service.
+ Customer Service:
+ Act as contact for key accounts to resolve issues and create streamlined experience.
+ Identify, communicate, and help resolve any order processing issues: i.e. Declined C/C, EDI orders.
+ Sales Process Optimization:
+ Work closely with sales managers, reps, and cross-functional teams to ensure the sales operations are aligned with business goals.
+ Assist with the development of dept SOPs and Best Practices in the areas of customer service and inside sales support. Drive consistent application in Daily Work to ensure efficient customer transactions.
+ Assist the team in refining, automating, and optimizing our sales support processes.
+ Administration Support:
+ Manage select sales administration including but not limited to: Bid paperwork, new account setup, creating spreadsheets and data entry, operating budget expenses, and field consignment orders.
+ Mange key account accrual statements, incentive activities, balances.
+ Reporting & Analysis: Create and prepare reports and assist with presentations that support the dept strategy.
+ Design data templates, retrieve system data, compile historical sales data, and develop reports to identify patterns and enable decision making.
First Six Month Deliverables:
+ Develop proficiency with customer quoting, order processing, and forecasting.
+ Understand system sales reporting data; Matco BI reports: KPI data.
+ Commercial Dept. sales process Kaizens.
+ Review current SOPs for all processes for refinement.
+ Work with team to optimize forecasting processes, order hold tools, and SOPs.
+ Team up with Sr Manager to identify, prioritize, and execute on opportunities for analysis, improvement, and automation.
WHO YOU ARE (Qualifications)
+ 7+ Years experience managing sales support operations effectively.
+ High School Diploma Required. Bachelors Degree Preferred.
+ Lead continuous improvement and process optimization.
+ Manage order entry to fulfillment accurately and efficiently.
+ Proactive problem solver with strong customer focus.
+ Work with sales and other teams to align operations.
+ Analyze data, report KPIs, and forecast sales.
+ Advanced Excel, BI tools, and AS400 system proficiency.
+ Develop and train on SOPs for process consistency.
+ Manage RFQ process to drive sales growth.
+ Provide excellent service to commercial accounts.
+ Oversee order entry, forecasting, and backorder resolution.
+ Handle bids, account setups, budgets, and consignment.
+ Create templates and reports for decision-making.
+ Manage accruals, incentives, balances, and quoting.
+ Compare competitor tools and create quotes.
The base compensation for this position is $85,000 per annum. Your actual base salary will be determined based upon numerous factors which may include relevant experience, skills, location (labor market data), credentials (education, certifications), and internal equity.
