This role primarily supports event-related needs across events and conferences within our U.S. Marketing group. In addition to event support, the role will spend approximately 25% of time on executive assistant duties, requiring a blend of administrative and event skills. Administrative support will be assigned to a department, individual, and/or area.
How you'll make an impact:
+ Plan and execute small on-campus events end-to-end, including timelines, run-of-show, vendor coordination, attendee communications, and post-event follow-up.
+ Conduct event research (venues, formats, vendors, pricing, best practices) to support the events team and internal partners.
+ Manage scheduling, meeting space reservations and logistics, including room bookings, A/V, seating, catering coordination, and calendar holds.
+ Provide day-of event support, including check-in, setup/tear-down coordination, issue resolution, and stakeholder support.
+ Coordinate logistics for Voice of Customer (VoC) meetings, such as schedule tracking, materials, room setup, and onsite support.
+ Track, submit, and reconcile department purchases and expenses inclusive of POs, invoices, reimbursements, and documentation for approvals.
+ Provide ad-hoc reporting and administrative support, including file management, tracking documents, and event wrap-up reporting (attendance, feedback, spend, learnings).
+ Serve as backup support for regional event coverage, assisting with planning and execution as needed.
+ Manage schedule and calendar of management with attention to accuracy and detail, including keeping Executive informed of calendar changes and change requests.
+ Use all computer programs relevant to the position to support development of correspondence, presentations, such as tracking and charting metrics data, and to perform data entry and report generation in support of a department, significant organizational group, or executive level management.
+ Ensure the preparation of information, documents, and logistics for assigned department, significant organizational group, or executive level management.
+ Perform general administrative activities including screening and directing phone calls, filing as well as composing and typing general correspondence under limited direction.
+ Plan and execute meetings, events, town halls, all-hands meetings, including on-site communication with some supervision.
+ Schedule domestic and international travel in compliance with existing policies and procedures, to optimize use of Executive's time and schedule
+ Other incidental duties.What you'll need (Required):H.S. Diploma or equivalent 6 years experience directly related experience including executive administrative support RequiredWhat else we look for (Preferred):• Excellent written and verbal communications skills, including negotiating and relationship management skills• Extensive knowledge and understanding of Edwards policies, procedures, and administrative requirements• Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint• Advanced problem-solving skills• Ability to manage complex travel arrangements, in keeping with overall time commitments and in support of optimizing time management• Completes tasks in resourceful and effective ways• Ability to manage internal and external confidential information with utmost discretion• Works autonomously within established procedures and practices• Ability to build and maintain strong relationships across the organization to influence and achieve objectives• Ability to work in a fast paced, dynamic work environment• Strict attention to detail• Extensive knowledge and understanding of Edwards policies, procedures, and administrative requirements• Ability to interact professionally with all organizational levels• Contacts are across the organization and at all organizational levels, including external contacts that may be at high levels• Adhere to all company rules and requirements (e.g., pandemic protocols, Environmental Health & Safety rules) and take adequate control measures in preventing injuries to themselves and others as well as to the protection of environment and prevention of pollution under their span of influence/control

For California (CA), the base pay range for this position is $70,000 to $96,000 (highly experienced).
