Job Title: Teaching & Learning Administrative Assistant
Reports To: Associate Superintendent; Teaching & Learning Coordinators
Serves: Teaching & Learning Department; Gifted & Talented Program; English Language Learners Program
Position Purpose: To assist and support the Teaching & Learning Department, with administrative, financial, and data management functions to ensure the focus on improved student learning.
Essential Performance Responsibilities:
+ Data Information
+ Manage the administration of several online curriculum resources, including student rostering and implementation support for teachers.
+ Prepare and oversee data management within various applications (Infinite Campus, Clever, STEMscopes, TIDE, Frontline, etc.)
+ Collect, organize, and visually present data that is related to district goals and/or state requirements
+ Collect, organize, and upload data to support the directors in state reporting requirements.
+ Summarize data and test results and prepare reports and spreadsheets using a variety of software programs, including Google Sheets and Infinite Campus.
+ Assist the Student Services Department with Social-Emotional Learning data
+ Track and manage evaluation data for certified staff.
+ Organize data so others can analyze and present information accurately
+ Help collect and monitor data requested from the Teacher Quality Committee
+ Track year over year trends in student achievement data
+ Serve as registrar for Norwalk’s License Renewal System.
+ Create and distribute surveys as part of Teacher Leaders Program evaluation
+ Support exports and integrations between Infinite Campus and other district technology tools
+ Collaborate with SIS Specialist and Director of Technology
+ Work with vendors including the AEA to create and maintain data dashboards
+ Assessment
+ Collaborate with building administrators and counselors to coordinate district test administration, including ordering, inventory, scheduling materials management, and test security procedures.
+ Manage the collection and importing of assessment accommodations in collaboration with the Student Services Secretary
+ Responsible for student rostering and implementation support for teachers
+ Assist the Gifted & Talented program with assessments including, but not limited to, CogAT screeners and post-screeners
+ Assist the English Language Learners program with assessments including, but not limited to, ELPA21.
+ Assist Teaching Staff and Administrators with troubleshooting during assessments
+ Purchasing
+ Prepare, process and review purchase orders and requisitions for all K-12 curricular resources.
+ Manage all aspects of the curricular purchase and inventory process, including communications with vendors
+ Perform monthly budget reports and audits
+ Maintain documentation for purchases using grant funds
+ Manage all aspects of categorical budgets for the Teaching & Learning Department
+ Register directors and teachers for conferences and trainings.
+ Assist with scheduling, organization, and materials preparation for district-sponsored conferences and workshops.
+ Perform end of year transfer and balancing of funds
+ Administrative Assistant to the Associate Superintendent of Teaching and Learning
+ Support in organization of communications, calendars, and meeting agendas
+ Provide information proactively related to teaching and learning
+ Complete projects as assigned related to the implementation of district goals and action steps
+ Assist in data and information needed for board presentations and state reporting.

Qualifications Profile:
+ Minimum of an Associate’s degree required.
+ Post-secondary training and experience in essential office, business/accounting, and technical tasks.
+ Demonstrates proficiency in the use of general office technology (Microsoft Office Suite, Google Suite) and aptitude to learn advanced technology applications (Infinite Campus, data management tools)
+ Ability to learn customized software, track data and apply the software in problem-solving capacities
+ Advanced clerical and general business office skills
+ Strong organization skills necessary to maintain an efficient and effective records system
Physical Requirements:
+ Lifting, carrying, pushing up to 10-40 pounds on occasion
+ Requires some stooping and kneeling
+ Must be able to sit upright in a desk chair for 7-8 hours per day
+ Must be able to perform data entry at a computer workstation for 7-8 hours per day
+ Must be able to meet a pre-employment physical examination

Terms of Employment:
+ At-Will, Hourly Confidential Employee
+ 12-month position (260 days per year, 8 hours per day)
+ Employment per Board Policies and Administrative Rules and Regulations
Evaluation: Performance will be evaluated annually by the Associate Superintendent
FLSA Status: Non-exempt.
