What you need to know
+ This is an hourly paid position and the salary range for position is commensurate. Final salary will be determined based on the applicant's qualifications and experience.
Job Summary
The Administrative Associate IV works under general supervision and provides advanced administrative support work at the Dallas office. Continued employment in this position is contingent upon the availability of funding and satisfactory performance.
Essential Duties and Responsibilities:
+ Serve as the primary office liaison for the Dallas office, reducing administrative burden on researchers and ensuring continuity of operations through coordination with Facilities, HR, IT, and supervisors. (20%)
+
+ Facilities Coordination: Act as liaison with TTI Facilities and building management for office arrangements, maintenance, safety protocols, evacuation drills, and vendor services; maintain accurate floor plans.
+ HR Support: Assist with onboarding, monitor AWL compliance, and escalate workplace culture concerns to supervisors or HR.
+ IT Support: Coordinate with NIS on office technology needs, including printers, shared equipment, and video conferencing systems.
+ Office Administration: Ensure reception coverage, manage supplies, mail services, office-wide meetings/events, and communicate key office updates to staff.
+ Provides advanced administrative support to TTI’s Air Quality and Environment Division and other staff within TTI’s Environment Group. (80%)

+ Assist with RIMS projections, preparing expense reports and travel reports in Emburse, and processing AggieBuy invoices.
+ Plan and execute administrative and office tasks independently within defined boundaries, with emphasis on supporting division and group priorities.
+ Provide editing and formatting support for various documents, including grant proposals, letters, and reports. Verifies, processes, and reviews documents.
+ Coordinate travel arrangements, meetings, seminars, conferences, and special events.
+ Perform other duties as assigned.
Education and Experience:
High school diploma or equivalent combination of education and experience.
Four years of related experience
Knowledge, Skills and Abilities:
Proficiency in Microsoft Office Suite and database applications.
Ability to multitask and work cooperatively with others.
Strong verbal and written communication skills.
Strong organizational, interpersonal, and communication skills
Preferred Qualifications
Previous experience working in administrative or research support.
Associate's degree or any equivalent combination of education and experience.
Three years of related work experience in a business environment or administration.
Prior experience with editing of technical reports, proposal response assistance, and presentation development, 508 compliance
Other Requirements or Other Factors:
Due to the nature of this position, physical presence in main suite is required Monday-Thursday, 8:30 a.m.–4:30 p.m. and Friday 9:00 a.m.-4:00 p.m. Details to be discussed further during the interview process.
Physical Requirements
