+ High School or Equivalent
+ Minimum of 3 years administrative experience
+ Proficient in office productivity software (i.e. Microsoft Outlook, email, database entry
+ Experience maintaining focus while meeting deadlines in a fast-paced, multi-tasking environment
Preferred Qualifications
+ Bachelor’s Degree
+ Experience working in a higher education setting
+ Experience working with Texas State University’s systems (i.e. PeopleAdmin, SAP , Banner, TEAMS , Canvas, BDMS )
Job Description
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties
Job Summary
+ The Administrative Assistant II, under supervision of a director, provides administrative and clerical support to the advising center, supervises student employees, and manages front desk operations
Job Duties
+ Oversee front desk operations and foster a professional/student-centered environment in the reception area
+ Open and close the office at set times
+ Greet, screen, and route visitors in a courteous manner
+ Assiststudents, parents, faculty, staff, and visitors by answering questions and/or referring toappropriate campusresource
+ Answer multi-line telephone, screen and transfer calls, take messages, and refer to other offices as appropriate
+ Maintain multi-user electronic calendar and schedule appointments foradvisingcenter staff
+ Recruit, screen, and hire staff of student employees
+ Provide initial and ongoing training to staff of student employees
+ Create student employee schedules; track and approve pay for student workers
+ Monitoradvisingcenter inbox and respond/forward emails appropriately
+ Order office supplies, track expenditures, and reconcile budge
+ Monitor inventory of office technology and assist with replacement purchase proces
+ Submit facility-related requests, as well as track and perform follow-up
+ Develop andmaintainaccurate and comprehensive records and files according to the record retention schedule
+ Coordinate travel arrangements and track all travel related requisitions and expense reports
+ Other duties as assigned
