Job Details:
Provide secretarial and receptionist services to support the efficient delivery of services provided by the Physical Medicine and Rehabilitation Departments. RESPONSIBILITIES
+ Schedule patients and register patients in an efficient, professional manner. This includes maintaining an accurate record of patient arrival, cancellations, or no-shows appointments; contacting patients that no show or repeatedly cancels; confirms new patient appointments; fills cancelled appointments; and reschedules patients as needed.
+ Maintains a professional demeanor with all interactions with patients and peers. Answers phones, welcomes patients and other customers in a courteous, helpful manner. Answers multiple telephone lines, provides accurate messages and disperses information in a friendly, efficient, and timely manner. Communicates open blocks on therapist’s schedules in a timely manner to Managers/Director.
+ Transcribes/Types clinical notes, meeting minutes, forms, and reports, including confidential correspondence, in an efficient, accurate manner as needed. Assists in the preparation materials for internal and external communications as needed and records meeting minutes as needed.
+ Responds in a timely fashion to requests and calls from both customers and coworkers
+ Ensures smooth operation of the Physical Medicine Departments including maintaining patient’s files, faxing, filing, obtaining patient records, obtaining supplies and mail, typing, communicating with referral and payor sources, etc.
+ Maintains necessary office supplies and equipment necessary for efficient operation of office.
+ Completes insurance documentation and tracks compliance with authorized visits.
+ Responsible for daily Physical Medicine and Rehabilitation charges for services rendered and posts cash for center.
+ Performs any other duties as assigned.
QUALIFICATIONS/REQUIREMENTS EXPERIENCE
+ Preferred clerical training, billing third party insurance, scheduling
EDUCATION
+ High School diploma or equivalency.

+ Excellent oral and written communication skills; good interpersonal skills; typing desired.
