Position Details
General Statement
The Office of Admissions is responsible for the marketing, recruitment, and orientation of new undergraduate MSU students. The Office of Admissions is also responsible for upholding the Board of Regents and Montana University System admission requirements, policies, and procedures regarding applications for admission, residency, acceptance of transfer credits, and other enrollment-related issues.
Duties and Responsibilities
+ Serve as the first point of contact for prospective students and their families, creating welcoming first impressions while strategically guiding them through the admissions journey and connecting them with key resources.
+ Deliver accurate and specific guidance on MSU’s admission policies, procedures, recruitment events, and campus life to prospective students, families, and campus partners—serving as a trusted expert on all things MSU admissions.
+ Collect, enter and maintain prospective student information with meticulous attention to detail in the MSU CRM and database (Banner).
+ Navigate sensitive situations with diplomacy and professionalism, de-escalating concerns and turning challenging interactions into positive experiences that reflect well on the university. Disseminate vital information accurately and efficiently over the phone, by email, and in person.
+ Communicate critical information with clarity and efficiency across multiple channels—phone, email, and in-person—adapting messaging to broad audiences while maintaining consistency and accuracy.
+ Collaborate with Campus Visit Coordinators on projects and initiatives, demonstrating flexibility and contributing to the broader success of the admissions team.
Required Qualifications – Experience, Education, Knowledge & Skills
+ Associate’s degree or higher plus progressively responsible entry to mid-level administrative support and/or clerical experience in a customer service-oriented position, or an equivalent combination of relevant education and experience.
+ Demonstrated experience using personal computers and software, MicroSoft Office Suite for email correspondence, spreadsheets, electronic calendars.
+ Demonstrated experience composing, formatting, and proofing grammar, punctuation, and spelling of business correspondence and general office materials as well as following established instructions and procedures with a high level of accuracy and attention to detail.
+ Demonstrated experience organizing and prioritizing heavy workloads and meeting deadlines with many interruptions while maintaining a positive, effective and professional approach.
+ Demonstrated experience using a digital database for large volumes of information entry, retrieval, maintenance, and processing, with a high level of accuracy.
Preferred Qualifications – Experience, Education, Knowledge & Skills
+ Experience using Ellucian/Banner or other relational databases.
+ Proficiency with Microsoft Office Suite or other related software suites.
+ Experience using CRM (Customer Relationship Management) technology
