    CSPD Instrument Coordinator / Liaison

    Job Summary

    The CSPD Instrument Coordinator / OR Liaison serves as the critical operational and communication link between the Operating Room (OR) and the Central Sterile Processing Department (CSPD). Under general supervision, this role ensures timely availability, accuracy, maintenance, and fiscal stewardship of surgical instrumentation to support safe and efficient surgical case flow.

     

    This position collaborates closely with OR staff, CSPD leadership, Supply Chain, Finance, OR Informatics, physicians, and vendors to manage instrument inventory, repairs, ordering, set creation, IFU compliance, and process improvement initiatives. The role promotes customer satisfaction through education, proactive problem resolution, and real-time support during surgical cases while ensuring compliance with regulatory and accreditation standards.

    Responsibilities*

    Instrument Coordination & Case Support

    + Monitor daily OR case flow and proactively communicate instrument and tray needs to CSPD.

    + Respond immediately to instrument-related concerns or additional needs during surgical cases.

    + Ensure adequate back-up instrumentation and optimal inventory levels for all procedures.

    + Assist with CSPD workflow as needed to support case volume and instrument turnaround.

    Inventory, Repairs & Set Management

    + Serve as the central point of contact for instrument repairs, instrument orders, and new or revised set creation.

    + Manage repairs of broken instrumentation and scopes.

    + Add new trays to inventory and order missing or replacement instruments.

    + Conduct daily walk-throughs, review low-on shelf reports, and analyze instrument utilization data.

    + Track trends in missing or damaged instruments, perform root cause analysis, and lead process improvement initiatives.

    + Will work with other Instrument Coordinators for intake of new clinic items and instrument purchases.

    Budget & Purchasing Oversight

    + Request and approve instrument purchases through the internal Instrument Purchase Process while monitoring the OR instrument budget in collaboration with the CSPD Manager using the Instrument Ordering App and Finance BI reporting.

    + Provide utilization and trend data to support purchasing decisions, denials of use (DNUs), and inventory optimization.

    Documentation, IFUs & Compliance

    + Review and maintain IFUs for new and existing instrumentation in collaboration with the CSPD Educator.

    + Serve as subject matter expert on reprocessing methods, parameters, and Joint Commission standards.

    + Collaborate with OR Informatics to maintain accurate count sheets and documentation.

    + Act as the point person for count sheet edits and instrument documentation updates.

    Education, Communication & Leadership

    + Participate in staff orientation, in-service education, and SOP development for new or revised processes.

    + Ensure staff sign-off on required in-service education and provide documentation to the CSPD Educator.

    + Communicate instrument inventory changes to OR and CSPD staff through huddles, written updates, and verbal communication.

    + Serve as a resource for CSPD, OR staff, and leadership regarding instrumentation, inventory, and compliance.

    + Develop and enhance professional skills through ongoing education and participation in training programs.

    Physical & Sensory Requirements

    + Ability to stand, walk, and sit continuously; bend, twist, squat, kneel, and reach as needed.

    + Lift and carry up to 50 lbs. unassisted; exert up to 50 lbs. of force for equipment movement.

    + Perform repetitive motions and fine motor tasks.

    + Ability to manage stressful situations, rotating shifts, overtime, and urgent operational demands.

    Required Qualifications*

    + High School Diploma or equivalent required; Associate degree or advanced certification.

    + Minimum of five (5) years of professional experience in the medical field, including at least three (3) years in sterile processing.

    + Certification through CBSPD or IAHCSMM (required within one year of hire).

    + Expert-level knowledge of OR instrumentation and sterile processing standards.

    + Demonstrated experience leading projects, teams, or process improvement initiatives.

    + Strong communication, organizational, and problem-solving skills.

    Work Schedule

    40 hours a week/shift schedule will vary

    Background Screening

     

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
