    We are currently seeking a CEO Office Support Specialist to provide dedicated support to the office of the CEO. This role will play a critical part in ensuring the seamless operation of the office by handling administrative tasks, managing schedules, booking travel, and supporting high-profile events. The CEO Office Support Specialist will report to the Executive Assistant and work closely with the executive team to maintain the efficiency and professionalism of daily operations.

     

    This position requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. The ideal candidate is professional, proactive, adaptable, works well under time constraints and capable of handling sensitive information with the utmost confidentiality. This position is 5 days a week on-site in our Mclean campus.

    Roles & Responsibilities:

    + Work in tandem with the Executive Assistant to manage the CEO’s complex calendar; coordinating meetings, events, and executive travel.

    + Learn and understand the office’s priorities and proactively address challenges. Independently create processes to reduce recurring issues and mitigate unforeseen circumstances.

    + Continuously assess and adjust the CEO’s schedule to align demands with evolving priorities, organizational goals, external commitments while shielding time for strategic work.

    + Serve as a liaison for the CEO office to internal and external stakeholders, ensuring clear and timely communication. Expected to greet distinguished visitors.

    + Monitor and triage incoming requests to the CEO Office, prioritizing and elevating as appropriate. Action requests using judgement and alignment to office priorities and needs.

    + Identify when pre-reads are needed; prepare, organize, and distribute agendas, correspondence, reports, other documents for internal and external meetings and events. Follow up on the status of needed documents and actions.

    + Collect, record and organize files, and other documentation according to company security procedures.

    + Arrange domestic and international travel for the CEO, including flights, accommodation, ground transportation, and detailed itineraries aligned with the CEO’s preferences and schedule.

    + Handle travel related expense reports and reimbursements, ensuring accuracy and compliance with policies.

    + Plan and lead execution of events hosted by the Office of the CEO, including logistical planning, engagement with vendors, preparation of official gifts, and on-site coordination. Address and negate any unforeseen challenges to avoid disruption to events.

    + Manage shared resources among entire EA team including office and conferencing supplies, pantry needs, and shared workspaces. Identify needs and patterns, order supplies, and prepare expense reports.

    + Support ad hoc projects and initiatives, as assigned.

    Basic Qualifications:

    + Bachelor’s degree in Business Administration, Communications, or a related field.

    + At least 4 years of experience in an administrative or support role.

    + Experience supporting senior executives or working in a C-suite environment.

    + Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

    + Strong organizational and multitasking skills with keen attention to detail.

    + Excellent verbal and written communication skills.

    + Demonstrated ability to manage confidential information with discretion.

    + Proven ability to work independently and as part of a team.

    + Flexibility to adapt to shifting priorities and deadlines.

    + Ability to obtain and maintain a Secret Clearance.

    + This position has an on-site requirement of 5 days a week on-site.

    Preferred Qualifications:

    + Familiarity with enterprise systems such as Concur or Workday.

    + Prior experience coordinating complex travel arrangements.

    + Experience supporting large-scale corporate events.

    + Strong problem-solving and critical-thinking skills.

    + Active Secret Clearance

    Salary compensation range and midpoint:

    $73,600 - $92,000 - $110,400 Annual
