Administrative Assistant | Hybrid – Wayzata, MN | $50-60K
This position will play a key role in keeping our client’s office running smoothly by providing administrative, operational, and client service support to financial advisors and staff and maintaining a welcoming office environment. Ideal candidate is curious and enjoys learning, brings excellent multitasking abilities, and a passion for delivering exceptional administrative assistance to enhance client experiences.
Responsibilities:
• Prepare and process client documentation, including account forms, transfers, and compliance-related paperwork.
• Schedule and confirm client appointments, ensuring accuracy and timeliness.
• Organize and maintain confidential client records, adhering to compliance standards and regulatory requirements.
• Assist in creating reports, presentations, and meeting materials for advisors.
• Coordinate mail handling, document scanning, and deliveries to maintain efficient workflow.
• Verify that all client-related documentation is complete, accurate, and meets firm standards.
• Manage electronic filing systems and support audits or recordkeeping tasks as needed.
• Collaborate with advisors and team members to facilitate administrative tasks and special projects.
• Address scheduling conflicts and ensure smooth coordination of meetings.
• Respond to client inquiries and provide detail-oriented communication to enhance client satisfaction.
Requirements
Qualifications:
• Minimum of 2 years of administrative experience in financial services or a similar environment.
• Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
• Familiarity with client management tools such as Redtail, Wealthbox, or Salesforce.
• Basic understanding of financial terminology and investment account types, including IRAs and brokerage accounts preferred.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Exceptional attention to detail and organizational skills, with a strong ability to prioritize tasks.
• Excellent communication and interpersonal skills, ensuring a detail-oriented demeanor in client interactions.
Compensation & Benefits:
• The targeted salary range for this position is $24-28/hour
