    The American Heart Association has an excellent opportunity for a **Sr. Operations Manager!**

     

    This position can be home-based.

     

    _This is a full-time, benefits-eligible, grant-funded opportunity. Current funding will expire on March 31, 2028, with the possibility of extension._

    Responsibilities

    Senior professional responsible for leading operational, fiduciary, logistical, and administrative support. Responsible for achieving operational and project deliverables, including budget management, contracting, and reporting requirements. Also responsible for organizing and implementing technical assistance, communications, and evaluation components.

     

    + Oversee and manage operations, such as accounting, expense reporting, procurement, and build relationships with legal, external vendors, and partners, to ensure that the overall business goals are achieved.

    + Develop, prepare, and distribute monthly reports on variances to project requirements for leadership. Analyze financial activities, including purchasing, contract terms, and vendor invoices, against the budget. Provide reconciliation, guidance and recommendations.

    + Leads program budget preparation and facilitation, including communicating procedures, distributing and completing budget templates, training, and overseeing modifications or revisions. Coordinates with the leadership team to prepare and submit proposals to the funding organization or related authorities.

    + Facilitates vendor contract management process to ensure contracts are reviewed and approved through internal Procurement and Legal procedures. Oversees scheduling, execution, and reporting against agreed contract terms.

    + Collaborate with the government grants team and the grants administrator to ensure all federal rules and policies are followed, and that the project is managed with efficiency, integrity, and full compliance with the American Heart Association's obligations to the government. Other duties, projects, or analyses as assigned, including participation in cross-functional task forces.

    + Performs other duties as required or assigned, which are reasonably within the scope and responsibility of the job level and family.

    + Drive project management excellence by establishing timelines, managing cross-functional teams, and ensuring the timely delivery of high-impact initiatives

    + Champion process improvement by identifying inefficiencies, implementing scalable solutions, and fostering a culture of continuous improvement.

    + Develop and deliver onboarding for key initiatives

    + Develop and maintain reporting frameworks that provide actionable insights, support data-driven decision-making, and ensure transparency across stakeholders.

    + Partner with internal stakeholders to identify and implement tools to enhance operational effectiveness, support innovation, and address emerging initiative needs.

    + Proactively identify, document, and escalate business risk for key initiatives

    + Manage conference delivery, including planning, logistics, stakeholder engagement, and post-event evaluation for assigned programs and initiatives

    + Ensure new programs are launched with clear objectives, structured workflows, and aligned stakeholder support.

    Qualifications

    + Bachelor’s degree or equivalent work experience.

    + Minimum of five (5) years of experience.

    + Knowledge of and ability to perform administrative practices, including the creation and management of databases, typing, and filing

    + Computer use, including Microsoft Office applications, including, but not limited to, Word, Outlook, Excel, PowerPoint, and Access.

    + Skills in written and oral communications.

    + Strong organizational skills with ability to initiate projects, provide follow-through, work with minimum supervision, and devise alternative solutions as necessary.

    + Ability to work in a fast-paced environment, prioritize work assignments, meet multiple deadlines, and monitor several projects simultaneously.

    + Knowledge of meeting management.

    + Knowledge of project management.

    + Ability to travel up to 5% - 10% local and overnight stay.

    Compensation & Benefits

    The expected pay range is $90,000 to $100,000. Pay is commensurate with experience; geographic differentials may apply to the pay range. The American Heart Association reserves the right to pay more or less than the posted range.
