    OVERVIEW

    The University of St. Thomas invites qualified candidates to apply for a Coordinator III position supporting the areas of English Graduate Program, Spanish Graduate Program, and other emerging graduate programs in the College of Arts & Sciences.

     

    This position has a full-time equivalency (FTE) of 0.8. We anticipate the position to be 32 hours per week, 12 months out of the year.

    Hourly Range: $20.00 to $25.50/hr

     

    The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

    JOB SUMMARY

    This position is responsible for providing comprehensive support in multiple areas for the English Graduate Program, Spanish Graduate Program, and other emerging graduate programs. Key responsibilities include developing marketing content, maintaining program websites and social media, event coordination, and administrative operations. The program manager supervises student workers, manages student records and registration, and graduation verification.

    ESSENTIAL FUNCTIONS

    + MARKETING: Collaborate with Enrollment Management Office to generate marketing content. Oversee and update web pages, including social media pages, with relevant information for current and prospective students. Conduct research on peer institutions to advise the chair and director of graduate studies of trends and potential areas of programmatic development. Work closely with social media to develop and enhance the program’s online presence and online marketing efforts.

    + STUDENT RECORDS/REGISTRATION: Create and maintain all student records. Post semester course schedules to the website. Add new courses, maintain courses, and distribute course schedules to students. Oversee student registration, manage course waitlists, transfer of credits, grade changes, and course substitutions. Serve as liaison with the university administration for enrollment maintenance as a member of the Records and Registration committee and with Student Financial Services. Work with relevant offices to maintain quality assurance of international transcripts and language test score proficiency. Communicate graduation information to students. Serve as liaison between the Registrar’s office and students regarding graduation ceremony. Verify that degree requirements are met.

    + STUDENT ADVISING/RETENTION: Maintain contact with enrolled students. Advise students on academic requirements. Advise the Director of Graduate Studies and Graduate Committees on student issues. Work in collaboration with the Directors of Graduate Studies on developing programmatic goals and policies. Provide student service information on the Graduate One St Thomas website and keep the website updated when program policies and procedures change. Promote events and national/local conferences.

    + EVENT PLANNING: Work with Program Directors on annual event planning, including orientation events, information sessions, the Spring Graduate Conference, visiting speakers, and other professional development events for students. This includes speaker contracts, promotion including creation of events on Salesforce, OneStThomas, and Tommie Link, room reservations, room layout, catering, student attendance tracking, book sales, and all other day of activities. Recruit and advise graduate student representatives on planning and implementing graduate student events.

    + ADMISSIONS: Work closely with the Enrollment Management Office in responding to program inquiries and advising prospective students regarding admission procedures and program requirements. Advise the Director of Graduate Studies and Graduate Committees on admission and credit hour projections. Help plan and execute Graduate Committee meetings and new student orientations.

    + ALUMNI RELATIONS: Provide ongoing communication with alumni regarding job postings, conference opportunities, and invitations to student/alumni events.

    + LIASION WITH UNIVERSITY ADMINISTRATION: Serve on College of Arts and Sciences committees for the graduate programs, including emerging graduate programs; represent the graduate programs at relevant university committee meetings. Serve as main graduate contact for the Business Office, Financial Aid, Registrar, and MIC.

    + BUDGET MONITORING: In collaboration with the Program Directors, monitor the program budgets. Maintain a file of receipts and a record of program expenses. Process purchases and invoices using EBuy&Pay. Reconcile directors WellsOne cards.

    QUALIFICATIONS

    Minimum Qualifications

    + Equivalent to a high school diploma

    + Four years of administrative experience, preferably in higher education. Bachelor’s degree preferred; 3-5 years of office/client service experience; previous work in higher education and expertise with SalesForce software also preferred.
