Description
Under the supervision of the Clinical Manager, the Practice Coordinator supports the clinical and administrative
teams. Responsibilities include scheduling, registering clients in the Electronic Health System, overseeing facility,
equipment, and technology needs and assisting the Clinical Manager and clinical team with special projects as
needed.

client safety as well as environmental safety.
• Accomplish individual and team goals and objectives established by supervisor based on prior
performance evaluation.
• Comply with HIPAA guidelines regarding client rights and confidentiality.
• Comply with documentation and training set forth by Human Resources.
SPECIFIC DUTIES:
• Completes phone screening process for new clients and forwards to finance for insurance review &
eligibility verification.
• Completes EMEVS check for Medicaid clients; downloads and scans the EMEV record to the client
document library.
• Enters new clients’ demographics to appropriate CoreLogic intake program.
• Enters call date and intake date into NJSAMS for IDRC DUI referrals.
• Collects required client documents on day of intake.
• Completes Medicaid presumptive eligibility.
• Uploads phone referral form and other preadmission documentation to client document library.
• Registers new clients in Laboratory online portal.
• Answers phones and relays messages to appropriate staff.
• Greets clients and directs them to appropriate clinicians/group room.
• Receives cash & credit card copays at check in.
• Assists clinicians with preparation of Urine Drug Screen (UDS) requisitions.
• Monitors office communication and files appropriately in clinicians’ read file.
• Records minutes for weekly team meetings.
• Forwards carrier-related mail via email to appropriate staff.
• Files scanned documents.
• Manages Facility & Equipment related issues.
• Orders office supplies and Instant UDS cups.
• Maintains and reconciles office petty cash balance requesting replenishment as needed.
• Maintains office equipment and schedules servicing as needed.
• Assists with Medicare transportation for Medicaid clients.
• Updates program procedural documentation.
• Assists with preparation for licensing inspections/audits.
• Performs other duties as needed.
Requirements
QUALIFICATIONS:
• Experience working in a behavioral health care/substance use disorder treatment setting preferred.
• Experience with Microsoft Office Products- Excel and Word, PowerPoint preferred.
• Excellent organizational and customer service skills.
• Strong written and verbal communication and interpersonal skills.
• Experience with Electronic Health Record systems preferred.
• High School Diploma or equivalent.
• Spanish-speaking a plus.
Salary Description
$24 / hour
