    Description

    In this role, you will provide essential administrative support to a fast-paced construction project team, ensuring smooth day-to-day operations and effective communication across all stakeholders. Your organizational abilities and proactive mindset will be key to keeping projects on track.

    Key Responsibilities:

    + Manage daily office functions for the project team, including document organization, mail processing, invoice handling, and maintaining updated contact records.

    + Deliver professional and approachable support to team members, clients, and partners.

    + Oversee scheduling and calendar management, coordinate meetings, and maintain accurate logs of project communications.

    + Prepare and submit financial documentation such as expense reports for leadership staff.

    + Set up project-specific resources, including meeting spaces, access credentials, and parking arrangements.

    + Draft correspondence, presentations, and reports to support project initiatives.

    + Update project organizational charts, seating layouts, and related documentation.

    + Coordinate travel plans, accommodations, and meeting itineraries for team members.

    + Facilitate meeting logistics, assist during sessions, and ensure detailed minutes are recorded and distributed.

    + Serve as a primary point of contact for inquiries from staff, clients, and visitors, escalating issues when necessary.

    + Collaborate with leadership to manage visitor protocols and site orientation procedures.

    + Maintain a professional, organized environment in communications with external partners and internal teams.

    + Assist with technical or IT-related challenges on-site by coordinating with the appropriate support teams.

    + Support onboarding and transitions for project personnel.

    + Maintain and organize filing systems, and assist with document retrieval processes.

    + Monitor inventory and order office or on-site supplies as needed.

    + Recommend improvements to workflows and contribute to process enhancement initiatives.

    + Assist with event planning and special project activities.

    + Perform additional tasks and responsibilities as assigned.

    Requirements

    • Proven experience in administrative support roles, preferably within construction or project environments.

    • Strong organizational skills with the ability to manage multiple tasks simultaneously.

    • Proficiency in scheduling, meeting coordination, and document management.

    • Familiarity with construction project tools and processes.

    • Excellent communication and interpersonal skills to interact effectively with team members, clients, and vendors.

    • Ability to troubleshoot and resolve basic technical issues efficiently.

    • Knowledge of expense reporting and travel coordination.

    • Commitment to maintaining a detail-oriented and inclusive workplace environment.
