Executive Assistant - 000G4W Description We are seeking a dynamic and highly organized Executive Assistant to serve as the first point of contact for our executives while providing high-level administrative support to senior management. This position requires exceptional communication skills, discretion, and the ability to manage multiple priorities, which include: + Provide comprehensive administrative support to senior executives and their teams, ensuring effective management of time, prioritization and discretion. + Coordinate office and administrative duties, including generating and distributing routine reports. + Assist in the preparation, proofreading and editing of documents, meeting binders, presentations, and other correspondences for department and executive management. + Act as a first point of contact for our executives by greeting visitors with professionalism and warmth. + Maintain phone messages, facilitate conference calls, disseminate general information, and provide assistance with applicable questions to callers. + Coordinate office and administrative duties, including answering calls, processing invoices, creating/submitting expense reports, ordering office supplies and preparing conference rooms for use. + Organize meetings, appointments and travel arrangements, ensuring all arrangements align with the participant’s schedule and preferences. + Maintain the department filing system, both electronic and paper, ensuring compliance with company policies and procedures. + Proactively anticipate needs, build relationships, demonstrate sound judgement and maintain a productive and positive environment for the executive and their team. + Special projects as assigned. Qualifications The successful candidate will meet the following qualifications: + High school degree or equivalent is required; associate degree preferred. + 3 or more years of experience in an administrative support role is preferred. + Proficient with Microsoft Office software skills. + Experience supporting senior executives or leadership teams in a corporate environment. + Professional attitude and demeanor. + Must have excellent written and verbal communication skills, with the ability to interact professionally with a variety of stakeholders. + Ability to handle confidential information with discretion and sound judgement. + Ability to work independently with minimal supervision. + Able to prioritize for self and others, as well as managing internal and external customers. + Able to handle diverse workload using strong organization skills to meet deadlines. + Flexible and available to assist anyone in the department with needs. #IND123 #LI-RW1 Primary Location : USA-Texas-Houston : Shift : Day Job Travel : No Job Posting : Unposting Date : Ongoing Organization : Finance & Treasury Job : Administrative Support Job Level : Individual Contributor Req ID: 000G4W
