    Event Specialist - Legacy Program and Special Events

    Position Description:

    Assists with the development and implementation of special events. Facilitates production of events by communicating with vendors, guests, internal staff and customers.

     

    The Legacy Program and Special Events – Event Specialist oversees the planning, enrollment, and execution of the Legacy Club and Legacy University programs, including event logistics, communications, data management and inventory tracking. This role will also assist in leading the planning, logistics, and execution of special events. This role will also assist in the logistics and communications for the Traveling Techsan Program.

    Major/Essential Functions:

    1. Lead planning, enrollment, and delivery of the Legacy Club and Legacy University programs.

    2. Maintain and pull alumni data to support Legacy Club communications and activities.

    3. Assist with mailings, packaging, and tracking Legacy Club engagement logistics.

    4. Procure, track, and inventory gifts, packaging, and promotional items annually for the Legacy Club program.

    5. Manage logistics for activities, parties, events, and program communications with sponsors and participants for the Legacy University program.

    6. Oversee application, family assignments, faculty collaboration, and full operational delivery of the Legacy University program.

    7. Design participant evaluations and use feedback to improve future programming for all events and programs.

    8. Assist with the Traveling Techsan Program by working closely with travel partners, marketing, and alumni engagement teams to ensure successful trip execution, broaden program visibility, and strengthen alumni participation through curated travel experiences.

    9. Lead planning, logistics, and executing of 1923 Society events.

    10. Lead planning, logistics, and executing of special events to include Matador Evening, Distinguished Alumni, and Top Techsan Award.

    11. Prepare and present data-informed reports to direct supervisor to support tracking of performance metrics.

    12. Contribute to the creation of monthly alumni updates and communications and work collaboratively with the communications and marketing team.

    13. Assist with on-site logistics and alumni membership promotion at Frazier Pavilion gameday tailgates and other Alumni Relations events.

    14. Other duties as assigned and needed.

    Schedule Details:

    The hours for this position are Monday through Friday 8am to 5pm in an assigned on-campus office. Overtime and travel may be required to attend events, meet deadlines and complete work as assigned.

    1. Proven experience in administrative, logistical, and project management support roles.

    2. Excellent communication skills, both written and verbal.

    3. Strong organizational and project management skills with demonstrated ability to multitask effectively
